Impact Summary
The Contract Administrator serves as a key professional responsible for supporting the full contract lifecycle, including the preparation, review, negotiation, execution, and administration of a wide range of agreements. This role exercises judgement in drafting, analysis, negotiation, and administration of contract agreements, ensures compliance with organizational policies, federal/state regulations (if applicable), and contractual obligations. This position requires advanced knowledge of contract principles and financial analysis that contributes directly to operational efficiency and compliance integrity. The Contract Administrator is detail-oriented, deadline-driven, and skilled in collaborating with internal stakeholders and external partners.
Responsibilities
Contract Lifecycle Management
- Independently draft, review, and edit contracts, amendments, Non-Disclosure Agreements (NDA), Statement of Work (SOW), purchase agreements, and related documents.
- Coordinate internal reviews with leadership, finance, procurement, and functional teams.
- Support negotiation of terms and conditions with vendors, customers, and partners.
- Provide financial analyst support to Program Managers in the areas of cost analysis, forecasting, budgets, Estimates to Complete (ETC), Estimates at Completion (EAC) and profitability.
- Apply knowledge of cost-reimbursable, time-and-materials (T&M), and firm-fixed-price (FFP) contract structures.
- Maintain accurate contract records, including version control and executed copies.
- Manage contract routing for approval and signature (electronic or manual).
Compliance & Reporting
- Proactively track contract obligations, deliverables, renewal dates, and expiration timelines.
- Ensure contracts comply with internal policies and risk requirements.
- Assist with financial analysis, accounts payable reconciliation and invoice review, certification and submission.
- Assist with audits by providing documentation, reports, and supporting materials.
- Monitor insurance certificates, performance requirements, and regulatory compliance.
- Experience with and understanding of various contract structures and Terms and Conditions.
Communication & Coordination
- Serve as a primary point of contact for contract-related inquiries.
- Provide guidance to internal stakeholders regarding contract processes and policies.
- Facilitate effective collaboration across internal departments (e.g., procurement, finance, operations).
Data & Documentation Management
- Maintain the contract repository in SharePoint or contract management systems.
- Generate and analyze reports on contract status, risks, cycle time, and renewals as required.
- Identify opportunities for process improvement, automation initiatives, and enhancements within the contracts administration functions.

Qualifications
- Bachelor’s degree in Business Administration, Contract Administration, Legal Studies or a related field (or equivalent experience).
- 5-9 years of experience in contract administration, procurement, finance or relevant field.
- NCMA Certifications and/or membership (preferred not required).
- Proficiency in Deltek Costpoint; Microsoft Office (Word, Excel, Teams), SharePoint, and contract management tools.
- Prior experience in government contracting, commercial contracting, or both.
- Strong familiarity with FAR/DFARS.
- Proficient with Microsoft Planner, Power Automate, or workflow systems.
- Ability to read, interpret, and redline contract language.
- Strong analytical and problem-solving skills.
- U.S. Citizenship required; security clearance desired but not required.

Salary Information:
The estimated salary range for this position will be $80,000 - $115,000 annually based on the successful candidates experience, qualifications, skill set, work location, and market conditions. Pay and Benefits are subject to change at any time and may be modified at the discretion of the company.
