POSITION SUMMARY

Receiving & Loading Dock Associate

The Receiving & Loading Dock Associate is responsible for the daily operation and organization of the resort’s loading dock, including the receipt, inspection, documentation, storage, and distribution of all incoming deliveries.

This role serves as the central hub for internal distribution across the resort, including receiving and processing retail merchandise orders and executing scheduled delivery of retail goods, mail, and operational supplies to departments across the property using resort vehicles and carts.

Success in this role requires strong organization, planning, and communication skills, a high level of reliability, and advanced computer literacy with the ability to learn and utilize multiple systems.

ESSENTIAL DUTIES & RESPONSIBILITIES

Shipping, Receiving & Dock Operations

  • Manage the daily operations of the receiving and loading dock.
  • Receive, inspect, and verify all incoming shipments for accuracy, damage, and completeness.
  • Receive and process all retail merchandise orders, ensuring accuracy and proper documentation.
  • Document deliveries accurately, including packing slips, delivery confirmations, and internal tracking as required.
  • Communicate the receipt of materials and equipment promptly to the appropriate departments.
  • Prepare outgoing shipments as needed, including packaging, labeling, and coordination with carriers.
  • Maintain an organized, clean, and safe loading dock and receiving area at all times.

Resort-Wide Distribution & Logistics

  • Serve as the primary coordinator for internal distribution across the resort.
  • Establish, manage, and execute a consistent delivery schedule for:
    • Retail merchandise
    • Internal mail
    • Operational supplies and packages
  • Deliver items across multiple resort locations in a timely, organized, and professional manner using a resort vehicle (minivan) and carts/trolleys.
  • Load, transport, and unload materials safely and efficiently.
  • Collaborate with department leaders (Retail, Golf, Food & Beverage, Lodging, etc.) to ensure delivery expectations are met.
  • Adjust delivery routes and schedules based on operational needs and seasonal demand.

Inventory, Organization & Coordination

  • Assist with inventory tracking and supply organization, including retail product flow.
  • Ensure proper storage of materials in compliance with safety and resort guidelines.
  • Monitor incoming deliveries for special handling requirements.
  • Report discrepancies, damages, or delivery issues to leadership or Purchasing as appropriate.
  • Coordinate with vendors, carriers, and internal departments to resolve delivery issues efficiently.
  • Independently plan, prioritize, and schedule daily workload to meet operational needs.

Technology & Systems

  • Utilize multiple systems to track, receive, and communicate deliveries, including but not limited to:
    • Accesso / Siriusware
    • Microsoft Excel
    • Microsoft Office Suite
    • Other internal systems as needed
  • Maintain accurate digital records related to receiving, retail orders, and distribution.
  • Demonstrate the ability to quickly learn and adapt to new systems, tools, and processes.

Safety, Compliance & Communication

  • Follow all safety procedures related to lifting, material handling, and vehicle use.
  • Safely operate a resort vehicle (minivan) for delivery across property.
  • Use carts, dollies, and other non-mechanical equipment safely.
  • Maintain clear, proactive, and professional communication with vendors, drivers, department leaders, and coworkers.
  • Demonstrate a strong internal customer service mindset in all interactions.
  • Adhere to all Shanty Creek Resorts policies, procedures, and standards of conduct.
  • Perform other duties as assigned.

PERFORMANCE ACCOUNTABILITY

  • Accuracy and timeliness of receiving, retail intake, and distribution processes.
  • Reliability and consistency of resort-wide delivery schedules.
  • Organization, cleanliness, and safety of the loading dock and receiving areas.
  • Effectiveness of communication with internal departments.
  • Ability to independently plan, organize, and execute daily responsibilities with minimal direct supervision.
  • Teamwork and responsiveness to operational needs.

GUEST SERVICE & PROFESSIONAL CONDUCT

While this role is primarily operational, professional conduct and service excellence remain essential. All Shanty Creek Resorts employees are expected to:

  • Maintain a professional appearance and follow uniform standards as outlined in the Employee Handbook.
  • Interact courteously and professionally with coworkers, vendors, delivery drivers, and guests when applicable.
  • Demonstrate accountability, teamwork, and a service-oriented mindset in all interactions.

PROFESSIONAL EXPERIENCE, EDUCATION & SKILLS

Experience

  • Previous experience in shipping/receiving, logistics, delivery, or operations support preferred but not required.

Education

  • High School Diploma or equivalent required.

Required Skills & Abilities

  • High level of computer literacy and comfort working across multiple systems.
  • Ability to learn and adapt quickly to new technology platforms (Accesso/Siriusware, Excel, MS Office, etc.).
  • Strong organizational, planning, and time management skills.
  • Excellent communication and interpersonal skills.
  • Strong internal customer service mindset and collaborative approach.
  • High reliability, accountability, and attention to detail.
  • Ability to lift, carry, push, and pull materials (up to 50 lbs regularly).
  • Valid driver’s license required with a clean driving record.

WORKING CONDITIONS & ENVIRONMENT

  • This position works both indoors and outdoors in varying weather conditions.
  • Work involves standing, walking, lifting, bending, and transporting materials.
  • Requires frequent driving between resort locations.
  • May require early morning, evening, weekend, or holiday shifts based on delivery schedules and operational needs.
