This role is a key operational support function focused on ensuring that insurance advisors are fully licensed, compliant, and ready to serve customers across multiple states. You will manage end-to-end licensing and appointment processes, working closely with internal teams and regulatory bodies to maintain accuracy and timeliness in all compliance-related activities. The position plays a critical role in enabling a seamless onboarding experience for new advisors while safeguarding regulatory standards. Operating in a fast-paced and detail-driven environment, you will coordinate across systems, track licensing status, and resolve process bottlenecks. This is a highly organized and execution-focused role where precision, accountability, and strong communication directly support business readiness and compliance success.
- Manage and execute end-to-end licensing and carrier appointment processes for assigned advisors and partners, ensuring all regulatory and operational requirements are met.
- Support state licensing workflows, including eligibility screening, onboarding documentation preparation, and coordination of exams and related scheduling.
- Submit, track, and follow up on insurance license applications across multiple states, maintaining communication with regulatory bodies to ensure timely approvals.
- Coordinate fingerprinting and other compliance requirements, ensuring accurate and complete execution of all mandatory steps.
- Monitor license renewals and continuing education requirements to maintain ongoing compliance across systems and advisors.
- Oversee carrier appointment tracking, reporting, and issue resolution, including escalation of delays when necessary.
- Partner with Sales, Training, and Licensing Operations teams to ensure advisors complete all onboarding, certification, and readiness requirements.
- Maintain accurate records of advisor licensing status across systems to ensure compliance and prevent unauthorized activity.
- Identify process gaps and contribute to continuous improvement initiatives that enhance operational efficiency and accuracy.
- Participate in system testing and validation (UAT) for improvements related to licensing workflows and automation tools.
- Strong experience using Microsoft Office tools, especially Excel, with the ability to manage and analyze large datasets.
- Prior experience with insurance licensing, compliance processes, or regulatory operations is highly preferred.
- Strong attention to detail with excellent organizational and administrative skills.
- Ability to manage multiple workflows simultaneously in a fast-paced, deadline-driven environment.
- Strong communication and collaboration skills to work effectively with cross-functional teams.
- High level of integrity and discretion when handling sensitive or regulated information.
