Job Overview:
The Administrative Coordinator/Resident Coordinator provides administrative and secretarial support for the Radiology Department and Residency Program. Responsibilities include managing program schedules, prioritizing program-related tasks, and ensuring the Program Director is notified of all critical deadlines, RRC and ABR requirement updates, and institutional policy changes. The coordinator must effectively prioritize urgent matters, adapt to shifting needs, and serve as a liaison between the Program Director, faculty, residents, chief residents, and GME personnel. Additional duties include assisting residency applicants, organizing interview activities, preparing and distributing residency schedules (rotations, call, vacation, conference), and ensuring accurate data collection required for ABR certification.
Qualifications:
Required:
- High School Diploma
- Minimum two years secretarial or administrative experience
- Proficiency in Microsoft Office, Outlook, and word processing (50+ wpm)
- Strong organizational, communication, and critical-thinking skills

Healthcare experience and knowledge of medical terminology preferred
Scheduling Requirements:
- Shift- 8:30am-4:30pm
- Monday thru Friday
- Full Time-Day
Essential Functions:
- Provide administrative support to the Administrative Director and Chairman of Radiology
- Prepare agendas, notices, minutes, and distribute meeting materials,
- Maintain filing systems and follow-up mechanisms for efficient department operations
- Manage calendars, coordinate meetings, and prepare required materials in advance
- Receive, screen, and distribute incoming mail and priority requests
- Prepare correspondence, reports, and presentations accurately and on time
- Provide professional telephone and visitor support and maintain accurate messages
- Maintain and coordinate general office equipment needs
- Work independently with minimal supervision
- Assist residency applicants, greet candidates, and coordinate interview schedules and activities
- Collect and maintain required ABR certification data
- Prepare and distribute resident rotation, call, vacation, leave, and conference schedules
- Serve as liaison between Program Director, residents, faculty, and institutional GME
- Perform other duties as assigned
