Master Trades Group is seeking a highly organized and proactive Executive Administrative Assistant to support our corporate leadership team. This role is critical to the efficiency of our corporate office and requires exceptional attention to detail, sound judgment, and the ability to manage competing priorities in a fast-paced, private-equity-backed environment.
The ideal candidate is a trusted partner to executives—anticipating needs, maintaining confidentiality, and ensuring seamless coordination across meetings, communications, and administrative workflows.
What You’ll Do:
Executive Support
- Provide high-level administrative support to executive leaders, including calendar management, scheduling, and meeting coordination
- Prepare agendas, presentations, reports, and briefing materials for leadership meetings
- Manage executive communications, including email correspondence and follow-ups
Office & Operational Support
- Coordinate logistics for meetings, offsites, and events (in-person and virtual)
- Serve as a liaison between executives, internal teams, and external partners
- Assist with onboarding support, internal communications, and corporate initiatives
- Maintain organized digital and physical filing systems
Administrative & Financial Tasks
- Process expense reports, invoices, and purchase requests in alignment with company policies
- Track deadlines, action items, and approvals to ensure follow-through
- Support contract administration, document routing, and signature management
Confidentiality & Professional Judgment
- Handle sensitive information with discretion and professionalism
- Exercise sound judgment when prioritizing requests and managing time-sensitive matters
- This role requires the ability to independently prioritize competing executive needs and exercise sound judgment in managing time-sensitive and confidential matters
What We Are Looking For:
- 5–7+ years of experience supporting executives in a corporate or professional services environment
- Bachelor’s degree preferred or equivalent professional experience
Skills & Competencies
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools
- Ability to work independently while managing multiple priorities
- Professional presence and ability to interact confidently with senior leadership
Preferred Experience
- Experience supporting multiple executives
- Exposure to private equity, finance, or fast-growth organizations
- Familiarity with HRIS, expense management, or document management systems
