About This Position
Position OverviewExecutive Assistant to the COO
This is not a traditional Executive Assistant role.
We are hiring a force multiplier—a highly organized, execution-focused operator who will partner directly with the COO to drive priorities, increase accountability, and accelerate business outcomes.
This individual will serve as the connective tissue across the organization—ensuring alignment, visibility, and follow-through on critical initiatives. If you thrive in fast-paced environments, communicate with precision, and take ownership of outcomes, this role is for you.
Key ResponsibilitiesEmail & Communication Management- Own and manage the COO’s inbox with zero drop-off in responsiveness
- Prioritize, triage, and ensure timely follow-up on all communications
- Draft and send communications in the COO’s voice—clear, concise, and direct
- Maintain organization, visibility, and continuity across conversations
- Track all action items from meetings, initiatives, and leadership discussions
- Assign ownership and establish clear deadlines
- Drive completion through consistent, proactive follow-up
- Own and optimize the COO’s calendar to align with strategic priorities
- Protect focus time and eliminate unnecessary distractions
- Ensure time is allocated to highest-impact activities
- Build agendas and prepare briefing materials
- Capture key decisions and action items in real time
- Ensure immediate post-meeting follow-up and accountability
- Maintain trackers for key priorities, initiatives, and critical issues
- Provide real-time updates on progress, risks, and blockers
- Create clarity and transparency across the organization
- Support execution of high-priority company initiatives
- Coordinate cross-functionally to ensure alignment and progress
- Manage travel planning and logistics with precision and efficiency
- Exceptionally organized with strong attention to detail
- Clear, confident communicator—written and verbal
- High sense of urgency and ownership
- Comfortable operating with and influencing senior leadership
- Proactive, accountable, and solutions-oriented
