Position Overview
The HR and Administrative Assistant is responsible for providing comprehensive administrative and human resources support to ensure efficient daily operations of the Colombia office.
This role manages a wide range of HR and administrative processes, including employee onboarding and offboarding, personnel changes, social security and benefits registrations, and maintaining accurate accounting information for payroll and vendor payments.
Additionally, the assistant oversees day‑to‑day office administration, coordinates internal logistics, supports compliance with local labor regulations, and ensures that all operational activities run smoothly and effectively. This position plays a key role in fostering a well‑organized, compliant, and employee‑focused work environment.

Key Duties and Responsibilities
Responsibilities include but are not limited to:
HR Responsibilities
- Support the recruitment process by formalizing communications, screening candidates, tracking a correct progress, and ensuring adherence to the company procedures and the established timelines.
- Support the onboarding and outboarding staffing process ensuring compliance with the Company procedures.
- Manage social security registrations, updates, and employee modifications to ensure full compliance with Colombian labor regulations
- Digitize physical employee records and maintain organized, updated digital personnel files
- Organize, copy, and scan company policies and other official HR documents
- Support the onboarding and outboarding process ensuring compliance with the Company procedures.

• Perform other HR-related duties as assigned by the supervisor.
Administrative Responsibilities
- Coordinate with external service providers to ensure timely and accurate updates of administrative and financial information.
- Oversee the procurement of administrative supplies and manage the processing and payment of related invoices.
- Prepare, submit, and maintain monthly administrative reports as required.
- Maintain an up‑to‑date inventory of office equipment and supplies.
- Review, verify, and accurately enter invoice data into the system and closely coordinate with the accounting third party to monitor monthly administrative payments.
- Support administrative procurement processes to ensure smooth office functionality.
- Perform additional administrative duties as assigned by the supervisor.

Skills and Requirements
- Minimum of 3 years of experience in administrative and HR roles.
- In-depth knowledge of payroll processes and Colombian labor law.
- Strong interpersonal and communication skills, both written and verbal.
- Proven ability to resolve issues efficiently and with a customer-focused approach.
- High level of discretion and ability to handle confidential information with integrity.
- Basic understanding of Human Resources practices and procedures.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel).
- Detail-oriented with strong data entry and document management skills.
- Ability to work collaboratively and maintain positive working relationships across teams.
- English level B1 (highly desired)
