About the Role:
- The Program Monitor performs a variety of activities related to the compliance, evaluation and monitoring of a comprehensive set of client service programs. Ensures program compliance with financial, legal, and programmatic requirements.
KEY RESPONSIBILITIES:
- Ensure that financial and programmatic reports are submitted according to specifications.
- Work with Program staff and funding agency to clarify funding agency's reporting requirements.
- Work with Finance and Program staff, as needed, to complete and/or compile reports.
- Assist Program and Grants staff with electronic registration, as needed, and support the online completion and submission of reports.
- Monitor compliance with submission of reports related to each grant award.
- Monitor and assist with compliance related to any special legal, partnership (outside agencies), or matching fund requirements.
- Responsible for tracking of all confirmed and pending grant agreements, award payments, expenses, and other financial transactions, and for accuracy of grant archives.
- Work with Program and Finance staff to ensure that award and payment records are accurate and up-to-date.
- Work with Program and Finance staff to ensure that all government grant reports and backup documentation is received from, and signed off by, program managers and maintain files of documents for audit purposes Assist with submitting and tracking invoices sent to Accounts Payable and working to resolve arising issues.
- Track status of pending grant agreements for new awards and assisting with follow-up on approvals and execution of contracts.
- Ensure grant contracts are executed on all grant awards, agency compliance with those contracts, and provide support to program managers.
- Interact with funding agencies to ensure that all procedures have been completed appropriately, to ensure that all required documents have been submitted, and to trouble shoot as needed.
- Establish purchase orders for grant expenses and assist in reviewing grant expenses and coding verification.
- Monitor program managers' adherence to effort and time reporting, obtain timesheets for all grant funded personnel, and work with program managers to ensure completeness and accuracy.
- Work closely with Grants Compliance Manager to conduct internal audits/reviews of grants for audit readiness.
- Facilitate training and technical assistance of staff as requested.
- Assist in designing protocols and training materials and facilitate training of agency Directors and Managers.
- Develop grant management support materials for grant program managers and assist in facilitating grant kick off meetings with program staff.
- Work with Program and Finance staff to compile and submit all required documents to initiate reimbursement and payments on grant awards.
- Assist in drafting and uploading budget modifications as needed.
- Provides support for data collection, analysis, and reporting for all grants received and in support of efficient and effective operation of the department.
- Manage grant calendars and other planning tools, schedules meetings and assists in meeting preparations and management. Establish and maintain departmental files and records.
- Assist with document preparation, requiring meticulous attention to detail.
REQUIREMENTS:
- Education: Bachelor's degree required
- Experience: 3-5 years of significant experience with program management or compliance, nonprofits and/or social services agencies preferred
