Westerner Park is seeking a dynamic and detail-oriented Event Coordinator to join our Event Services Team, with a focus on the Sports market and special events.

Reporting to the Event Fulfilment Manager, the Event Coordinator plays a key role in delivering exceptional event experiences from initial inquiry through to successful completion. This position is responsible for coordinating all aspects of event planning, including bookings, logistics, and client communication, while serving as the primary liaison between clients, internal teams, and external partners.

The ideal candidate is client-focused and highly organized, with the ability to understand client needs and develop customized event plans that align with organizational standards. The Event Coordinator also supports self-produced events, contributes to revenue growth, and manages administrative responsibilities such as event documentation, invoicing, and compliance.

This role is integral to ensuring seamless event execution, building strong client relationships, and supporting the continued success and growth of events at Westerner Park.

Under the direction of the Event Fulfilment Manager, the Event Coordinator is responsible for the following:

Client & Event Coordination
  • Serve clients across multiple channels (in person, by phone, and online) to understand and meet event needs.
  • Manage events from initial inquiry to completion, including proposals, contracts, and Banquet Event Orders (BEOs).
  • Coordinate event details such as floor plans, staffing, services, and logistics.
  • Provide timely, professional communication and build strong client relationships.
  • Conduct site tours and develop customized event proposals.
Event Execution & Support
  • Provide on-site and on-call support to ensure seamless event delivery.
  • Collaborate with internal teams and contractors to execute events to the required standard.
  • Troubleshoot issues and resolve client concerns effectively.
  • Support the planning and delivery of self-produced events.
Sales & Business Development
  • Identify and pursue opportunities to grow business and contribute to revenue targets.
  • Identify gaps in Westerner Park’s offerings that create opportunities to boost client engagement and satisfaction.
  • Maintain strong knowledge of the events calendar, market trends, and client base.
  • Act as a brand ambassador, promoting Westerner Park’s services and venues.
Administration & Operations
  • Prepare and maintain accurate event documentation and records.
  • Manage invoicing, deposits, and billing processes in a timely manner.
  • Monitor event profitability and support financial reporting.
  • Ensure compliance with organizational policies, procedures, and systems.

Here is what you bring:
  • Post-secondary education in events, business, or a related field, or equivalent experience.
  • 4–5 years of experience in event planning and/or sales preferred.
  • Strong communication, organizational, and customer service skills.
  • Proficiency in Microsoft 365; experience with CRM systems (e.g., EventPro) and AutoCAD is an asset.
  • Ability to perform effectively in fast-paced, high-pressure environments.
  • Ability to manage multiple projects and competing deadlines with strong attention to detail.
  • Strong problem-solving skills and ability to adapt in a dynamic event environment.
  • Availability to work flexible hours, including evenings and weekends, based on event schedules.
  • Ability to work both independently and collaboratively within a team environment.
  • Knowledge of venue operations, event logistics, and health & safety regulations is an asset.

Compensation: $46,820.80 to $55,764.80 annually
