SUMMARY
The Counseling Center Receptionist serves as the primary front-facing representative of the Counseling Center, providing administrative and operational support under the direction of the Counseling Director. This role ensures smooth daily operations by managing communication, scheduling, and client experience while creating a welcoming, professional, and confidential environment for all clients.
Requirements:KEY RESPONSIBILITIES
As a key member of the Counseling Center team, your responsibilities include, but are not limited to:
- Serve as the first point of contact for clients, creating a warm, safe, and welcoming environment
- Answer and direct phone calls, emails, and in-person inquiries in a timely and professional manner
- Schedule, confirm, and manage client appointments for counselors
- Collect and process payments for counseling sessions (cash, card, or digital), ensuring accuracy and proper tracking
- Maintain client records, intake forms, and documentation with strict confidentiality
- Assist with client check-in and check-out processes
- Communicate appointment reminders, updates, and general information to clients
- Ensure counseling spaces, lobby, and common areas are clean, organized, and ready for sessions at all times
- Monitor office supplies and assist with ordering as needed
- Support administrative tasks and daily operations as directed by the Counseling Director
- Perform additional duties and special projects as assigned
JOB SCOPE
This role focuses on the day-to-day front office and administrative operations of the Counseling Center. The Counseling Center Receptionist plays a key role in shaping the client experience by ensuring smooth scheduling, accurate payment processing, and a clean, welcoming environment. While not involved in counseling services directly, this position is essential to maintaining professionalism, confidentiality, and operational excellence within the Counseling Center.
QUALIFICATIONS
- Strong communication and interpersonal skills
- High level of professionalism, discretion, and confidentiality
- Ability to manage multiple tasks and schedules efficiently
- Detail-oriented with strong organizational skills
- Proficient in basic computer systems (email, scheduling software, spreadsheets, etc.)
- Ability to handle sensitive situations with care and empathy
- Self-starter who is proactive and able to work independently and as part of a team
- Physical requirements: Constant periods of sitting and repetitive motions. Occasionally able to lift or move up to 20lbs and standing or walking.
