About This Position
The Clinical Operations Administrator is responsible for supporting the leadership team in the day-to-day management and ongoing improvement of clinic operations. This role serves as a key operational partner to clinical and administrative leadership, helping to coordinate projects, streamline workflows, improve patient experience, support staff performance, and ensure the clinic operates efficiently, compliantly, and in alignment with organizational goals.
The Clinical Operations Administrator works closely with providers, clinical staff, front-office teams, and senior leadership to execute operational priorities, monitor performance, and assist with strategic initiatives across the clinic. Duties
- Clinic Operations and Leadership Support
- Partner with the Clinical Director and leadership team to support daily clinic operations and organizational priorities.
Operational Improvement and Project Management
- Lead or support clinic-based projects related to workflow optimization, staffing support, patient flow, service line growth, and operational standardization.
- Monitor project timelines, action items, and deliverables to ensure initiatives are completed effectively and on schedule.
- Help develop, implement, and maintain standard operating procedures, policies, and workflows.
- Assist in tracking key operational metrics and preparing reports, dashboards, and updates for leadership review.
- Use data and observations to recommend improvements in scheduling, throughput, patient experience, and team performance.
Team Coordination and Staff Support
- Serve as an operational resource and point of support for clinical and administrative staff.
- Assist leadership with onboarding, training coordination, staff communication, and workflow education.
- Promote accountability, collaboration, and a positive team culture across the clinic.
- Support staffing coordination and schedule oversight to help maintain appropriate coverage and efficient operations.
- Reinforce organizational expectations, service standards, and operational best practices.
Patient Experience and Clinic Flow
- Help ensure a high-quality patient experience by supporting efficient clinic flow from check-in through check-out.
- Partner with clinical and front-desk teams to address workflow bottlenecks, service delays, and communication gaps.
- Assist with patient service recovery efforts, complaint resolution, and follow-up as needed.
- Support initiatives that improve access, responsiveness, and overall patient satisfaction.
Compliance, Quality, and Risk Support
- Assist leadership in maintaining compliance with regulatory, accreditation, and organizational standards, including HIPAA, OSHA, CLIA, and other applicable requirements.
- Support quality improvement activities and help monitor adherence to clinic policies, procedures, and documentation standards.
- Participate in audits, compliance reviews, corrective action follow-up, and risk mitigation efforts.
- Help ensure operational processes align with safety, quality, and patient care expectations.
Financial and Administrative Operations
- Support leadership in managing clinic resources, supplies, and operational expenses in a cost-conscious manner.
- Assist with budgeting-related tracking, vendor coordination, purchasing, and resource planning as needed.
- Partner with leadership and administrative teams to improve efficiency in clinic operations and support practice growth.
- Coordinate with billing, scheduling, and administrative functions to ensure operational alignment across departments.
