JOB SUMMARY:

The Team Lead plays a dual role within the health center, performing standard Medical Assistant duties while also serving as a clinical team lead. Acting as a liaison between Medical Assistants, providers, and the Center Manager, this role ensures smooth daily operations, supports staff coordination, and upholds clinical quality standards. The Team Lead provides real-time guidance to the team, oversees workflow adherence, and promotes a safe, efficient, and patient-centered environment.

SUPERVISORY RESPONSIBILITIES:

This position provides supervision to others: N/A

  • While this position does not have formal supervisory authority (e.g., hiring/firing), the Team Lead provides day-to-day leadership and direction to Medical Assistants.

ESSENTIAL JOB FUNCTIONS:

  • Act as the primary liaison between the Medical Assistant team, providers, and the Center Manager to support effective communication and operational alignment.
  • Facilitate daily team huddles to communicate key updates, schedule changes, and workflow reminders.
  • Support staff onboarding and training efforts, providing mentorship to new or developing Medical Assistants.
  • Assist in daily coverage planning to ensure clinical roles are appropriately staffed and all patient needs are met.
  • Monitor daily clinical workflows and documentation to ensure efficiency, accuracy, and compliance with established protocols.
  • Ensure adherence to infection control standards and maintain required clinical logs (e.g., refrigerator/freezer temperature, quality control, emergency equipment checks).
  • Support team accountability with Jellybean workflows, documentation of lab results, referral tracking, and follow-up tasks.
  • Monitor inventory levels and coordinate ordering of medical supplies, medications, and equipment as needed.
  • Ensure proper storage, labeling, and disposal of clinical supplies in accordance with regulatory standards.
  • Provide Medical Assistant services as needed during high-volume periods or staffing gaps.
  • Promote a member-first culture by modeling service excellence and reinforcing respectful, efficient, and compassionate care practices among staff.

Other Duties:

  • Identify and escalate urgent operational or patient-related issues to the Center Manager promptly.
  • Serve as an on-site point of contact for resolving routine concerns from staff or providers.
  • Collaborate closely with the Center Manager to monitor operational trends, address concerns, and implement strategic improvements.
Requirements:

SKILLS & ABILITIES:

  • Strong interpersonal and communication skills with the ability to lead by example.
  • Ability to manage multiple priorities and respond effectively in a fast-paced clinical environment.
  • Knowledge of clinical workflows, infection control practices, and medical documentation standards.
  • Proficient with electronic health records (EHR); experience with eClinicalWorks is a plus.
  • Skilled in promoting teamwork, accountability, and continuous improvement.
  • Ability to lead peers with professionalism, fairness, and integrity.
  • Comfort with giving constructive feedback and guiding others in real-time.
  • Conflict resolution and decision-making skills in a team-based environment.
  • Ability to remain calm under pressure and adapt quickly to changing priorities.

EDUCATION & CERTIFICATIONS :

  • High School diploma or equivalent required.
  • Completion of a Medical Assistant program or equivalent clinical training is required.
  • Current MA certification/registration (CMA, RMA, or equivalent) preferred.

EXPERIENCE:

  • Minimum of 2 years of experience as a Medical Assistant in an outpatient or ambulatory care setting required.
  • Experience in a lead or supervisory role is preferred.

  • This role may require rotation across area centers.
  • Flexibility to adjust schedule based on staffing or operational needs is required.

  • Ability to lift up to 15 pounds (training equipment, materials).
  • Prolonged periods working on a computer.
  • While performing the duties of this position, the employee is regularly required to talk or hear.
  • The employee frequently is required to use hands or fingers, handle or feel objects, tools, or controls.
  • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is usually low to moderate.
