JOB DESCRIPTION

JOB TITLE: ADMINISTRATIVE ASSISTANT

DEPARTMENT: Administrative

SUPERVISOR: Office Manager

EXEMPT/NON-EXEMPT: Non-Exempt

SUPERVISES: None

JOB SUMMARY: The Administrative Assistant provides wide ranging support across the organization, supporting various office leadership and employees including but not limited to: Registration, Accounting, Compliance, Billing, and clinical staff. The Administrative Assistant demonstrates a positive attitude toward clientele and excellent communications skills to be able to work effectively with staff, clients, and other outside entities that may have a stake in company operations. The Administrative Assistant may be assigned to perform a variety of tasks in various departments; proper research techniques and computer skills will be requirement of the position in order to develop and execute strategies and goals for the betterment of the company. GENERAL

RESPONSIBILITIES: Follow Willapa Behavioral Health & Wellness Service Excellence Standards / Code of Ethics and Policies and Procedures.

1. Adhere to rules of confidentiality.

2. Respect and accommodate a diverse population.

3. Maintain appropriate boundaries with clients and staff.

4. Work on-site as necessary or remotely using telehealth technology as determined by management.

ESSENTIAL FUNCTIONS:

1. Implement, coordinate, and complete operational tasks with minimal direction and supervision.

2. Communicate effectively in person, over phone, and by email with persons both internal and external to the company. This may include performing communicative duties normally assigned to registration, accounting, billing and other departments.

3. This position will have significant overlap with varying departments including providing and explaining intake/assessment paperwork, ensuring proper insurance coverage, chart maintenance, records release, reviewing ledgers and accounting software, assist with authorization requests, and other staff duties.

4. Provide guidance and continuous support throughout the processes and functions assigned.

5. Other duties as required.

Requirements:

MINIMUM QUALIFICATIONS

  1. High school graduate or equivalent.
  2. Business related experience.
  3. Detail and deadline oriented.
  4. Strong computer skills including accounting databases, Excel, and other software.
  5. Ability to communicate clearly in person, on the telephone and in writing.
  6. Use appropriate reference material effectively, e.g. standard dictionary, internet research, and instruction manuals.
  7. Experience operating office machines; copier, fax, telephone, computer, and calculator.
  8. Excellent verbal and written communication skills.
  9. Excellent customer service with a client focus.
  10. Undergo and pass criminal background check upon initial employment and any subsequent checks required by the agency.
  11. Able to sit, stand and move for long hours at a time and lift up to 25 pounds.
  12. A valid driver’s license and reliable vehicle.
  13. Able to drive in daylight, darkness, and typical Northwest weather conditions.
  14. Flexible to work weekends and overtime as required.
  15. Meet the current Washington health care vaccination requirements for health care workers.
