About This Position
Job Summary
- The coordination of staffing, scheduling and payroll Operations for Nursing
- Department.
Responsibilities
- Scheduling
- Schedules nursing personnel utilizing a computerized staffing plan for each unit. Self scheduling units require increased coordination.
- Schedules and assigns float pool personnel according to skill and department need.
- Coordinates scheduling of vacation, holiday and requests for paid time off so that adequate staffing levels are maintained.
- Monitors all sitter schedules, payroll and questions.
- Daily Staffing
- Coordinates the effort to fill unplanned absences on a daily basis using per diem or other appropriate personnel.Creatively moves staff from one shift to another and/or unit to another to meet staffing needs.
- Communicates to Directors and/or Nurse Managers regarding insufficient staffing level so that a timely action plan can be put into effect to correct the situation.
- Demonstrates ability to deal with difficult situations and resolves conflict in an appropriate manner. Effectively deals with many personalities juggling staff needs.
- Reporting
- Manages staffing, census records and forms so that they are accessible for retrieval, review and use utilizing computerized records as systems become available.
- Maintains communication between Nursing Department personnel, hospital support department, IS, and Finance to facilitate the scheduling and payroll of nursing personnel.
- Presents monthly, summarized personnel usage reports for absent time, vacation time, overtime, orientation time, and holiday time for each payroll period to Nursing Directors and appropriate Nurse Managers.
- Completes resource utilization reports for comparison analysis of available staff, and actual utilization by staff type and hours paid.
- Prepares daily staffing reports providing a summary of staffing for each Nursing Unit by shift.
- Database Development and Maintenance
- Maintains individual employee information for MidHudson Regional Hospital of Westchester Medical Center and agency data regarding employee type scheduling preferences, qualification, skills, and other employee data. Communicates effectively between managers, Human Resources, Education.
- Maintains employees information and updates daily nursing data-base for scheduling that includes nursing skills and time availability. Continuously updates with calls re: availability based on staffing needs and sick calls
- Payroll
- Submits weekly payroll sheets to Payroll Department and assures accuracy of data submitted. Places courtesy calls to staff who fail to punch, sign or call.
- Distributes paychecks to per diem employees in the Nursing Department.
- Processes the needed corrections to the payroll department that are identified after payroll distribution. Follows up with staff who still don’t call, regarding missing punches and directing employees appropriately for monetary discrepancies.
- Process payroll for agencies usages and verify weekly bills for accuracy and send to accounts payable and directors.
- Performs other related duties as assigned
Qualifications/Requirements
- EXPERIENCE
- Two years minimum secretarial clerical, office experience to include computerized word processing and data management.
EDUCATION- High School Diploma with secretarial office.
LICENSES/CERTIFICATIONS- N/A
OTHER- If applicable, the individual performing this job may reasonably anticipate coming into contact with human blood and other potentially infectious materials. Individuals in this position are required to exercise universal precautions, use personal protective equipment and devices, and learn the policies concerning infection control.
