Full-Time Front Desk Medical Reception Manager – Fremont Location

Typical hours of operations: Monday - Thursday 7AM -7PM, Friday 7AM - 6PM

Schedule: Schedule can be variable and requires some flexibility, evening shift preferred

Pay: $26.00 - $30.00 per hour

Experience Momentum is a thriving, mission-driven wellness center located in Fremont, WA providing integrative health services including physical therapy, massage therapy, nutrition counseling, personal training services and group fitness. We are seeking a Front Desk Medical Reception Manager who brings warmth, reliability, and a solutions-focused mindset to every interaction.

What You’ll Do:

  • Lead Daily Operations: Oversee the day-to-day flow of the CRS department while upholding Experience Momentum’s mission, values, and service standards
  • Create a Standout Client Experience: Greet and support clients with warmth, professionalism, and consistency from check-in through follow-up
  • Manage Scheduling & Access: Coordinate appointments across service lines to optimize availability, flow, and quality of care
  • Handle Payments with Precision: Collect copays, balances, and payment information accurately and professionally
  • Support Clear Communication: Answer phones, manage referrals and faxes, and ensure timely, compassionate patient follow-up
  • Maintain Accurate Records: Keep client accounts current, including demographic, insurance, and financial information
  • Navigate Complex Inquiries: Respond clearly and empathetically to client questions, including Motor Vehicle Accident and L&I cases
  • Develop & Support Your Team: Coach, mentor, and conduct regular check-ins and performance reviews with CRS team members
  • Problem-Solve in Real Time: Anticipate and resolve operational challenges with both staff and client experience in mind
  • Drive Department Results: Partner with the General Manager to set goals, execute strategies, and track performance outcomes
  • Lead with Accountability: Facilitate and participate in department and leadership meetings with clarity and data-informed insights
  • Support Hiring & Onboarding: Assist with recruiting, training, and performance management in collaboration with HR
  • Pitch In Where Needed: Jump into additional administrative and operational tasks to keep the clinic running smoothly

Who You Are:

  • A dependable and detail-oriented professional who thrives in a fast-paced, people-centered environment
  • A clear communicator who can navigate sensitive or complex scenarios with grace
  • Tech-savvy and organized, with the ability to manage multiple tasks calmly and efficiently
  • Previous experience in a medical, clinical, or wellness setting strongly preferred
  • Exceptional communication skills with previous experience in a customer service leadership role
  • Passionate about working within a health and wellness space
  • Previous experience with TheraOffice
