About This Position
This is an on-site position at our Clearwater store.
Job Summary
The Facilities Maintenance Coordinator is responsible for coordinating the daily maintenance, repair, and preventative care of 11 retail jewelry store locations. This role ensures each store maintains a safe, secure, polished, and fully operational environment that reflects the brand’s luxury standards.
The Coordinator serves as the primary point of contact for store managers regarding facility issues and works closely with vendors and contractors to ensure timely resolution of maintenance needs while controlling costs and minimizing disruption to sales operations.
Primary responsibilities
Maintenance Coordination & Work Order Management
• Receive, prioritize, and coordinate maintenance requests from 11 retail locations.
• Assign work orders to approved vendors or service providers
• Track job progress and ensure timely completion
• Follow up with store managers to confirm resolution and satisfaction
• Maintain accurate maintenance records and documentation using CMMS or tracking systems
Preventative Maintenance Oversight
• Schedule and monitor preventative maintenance for:
o HVAC systems
o Electrical and lighting systems
o Plumbing
o Security systems and access control
o Display cases and storefront components
• Ensure service intervals are met to prevent downtime and emergency repairs
Vendor & Contractor Coordination
• Source and coordinate licensed vendors for HVAC, electrical, plumbing, glass repair, security, and general repairs
• Obtain quotes for non-routine repairs within approved spending thresholds
• Ensure vendors meet company insurance and compliance requirements
• Monitor vendor performance for quality and responsiveness
Retail Environment & Brand Standards
• Ensure all locations maintain a clean, safe, and high-end appearance
• Coordinate repairs related to flooring, paint, fixtures, showcases, and lighting
• Support store refreshes, minor remodels, and fixture installations
• Assist with logistics for store openings, relocations, or reconfigurations
Safety & Compliance
• Coordinate required inspections and ensure compliance with local building, safety, and fire codes
• Maintain documentation for safety audits and insurance requirements
• Ensure emergency repair protocols are followed
Inventory & Purchasing
• Track and manage maintenance-related supply inventory where applicable
• Coordinate purchase orders for approved repairs and services
• Monitor maintenance expenses against budget guidelines
Required Qualifications
• Experience in facilities coordination, property maintenance, or multi-site retail support
• Working knowledge or HVAC, electrical, plumbing, lighting, and general building systems
• Experience coordinating vendors and service providers
• Strong organizational skills with the ability to manage multiple store requests simultaneously
• Effective communication skills with store managers, vendors, and leadership
• Proficiency in Microsoft Office and/or CMMS systems
• Ability to travel to store locations as needed
Preferred Qualifications
• Experience in retail or luxury retail environments
• Familiarity with security systems used in jewelry or high-value retail
• Experience supporting multi-location operations
