The Academy for Innovation In Medicine (AIM) is looking for an Office Manager. The Office Manager is responsible for overseeing the daily administrative operations of the school while also managing core bookkeeping and financial record-keeping functions. Because this is a new charter school, this role will be instrumental in establishing office procedures, implementing organizational systems, and ensuring operational compliance from the ground up.

The Academy for Innovation in Medicine (AIM) is an innovative public STEMM school opening July 2026 for students in 6 and 9 grade and growing to 6 through 12 grades over the next four years. Through a unique partnership with Grady Health System, AIM provides students with rigorous academic preparation grounded in science, technology, engineering, mathematics, and medicine, while offering authentic exposure to healthcare careers and real-world applications of learning. Through this partnership, AIM students engage in experiential learning opportunities that connect classroom instruction to clinical, research, and community-based medical environments.

Requirements:Key Responsibilities
Bookkeeping
Maintain accurate financial records in a K-12 public school environment, including bank reconciliations, accounts payable and receivable, invoices, reimbursements, and purchase orders. Manage month end closing activities, including reconciliations, journal entries, and preparation of supporting schedules for CFO review. Assist with payroll processing and budget tracking. Maintain audit-ready financial documentation and work closely with school leadership and external financial partners to ensure fiscal compliance with district, state, and federal requirements.
Operations, Administration, and HR
Lead daily office operations, systems, and workflows to ensure efficient school functioning. Manage office supplies, equipment, vendors, mail, and internal communications. Coordinate scheduling, meetings, and school events. Oversee student enrollment, records management, and data entry in compliance with state and federal regulations. Ensure charter, district, and state reporting requirements are met.
Support human resources functions including onboarding, personnel documentation, employee records management, payroll coordination, and compliance with employment policies and regulations.
Systems Development and Process Improvement
Develop and document standard operating procedures. Implement and maintain efficient digital and physical filing systems. Identify and recommend tools to improve operational efficiency. Establish organized, repeatable processes that support effective day-to-day operations and school growth.
Qualifications
Required
- K-12 Public School Experience
- Associate's degree or higher in Accounting or related field preferred; equivalent experience considered
- Minimum three years of bookkeeping, financial record-keeping, and administrative experience in a school, nonprofit, or startup environment
- Proficiency in QuickBooks
- Proficiency in Microsoft Office or Google Workspace
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High level of professionalism and discretion
- Ability to work independently and take initiative in a startup environment
