Aimbridge Corporate - Associate Project Manager

Job Summary

The Associate Project Manager will play a key role in completing project management activities across multiple teams and ensuring the smooth execution of internal projects from initiation through completion. This position requires advanced proficiency in Microsoft Office applications, especially Excel, financial acumen, along with strong organization and communication skills. Responsibilities include accurate data entry, status tracking, and proactive follow-up with application team leads to ensure milestones are met; providing resource allocation, budget management, and progress tracking using formal PMO processes and tools; writing user stories and PMO standard operating procedures and coordinating all logistics and administrative tasks to maintain effective communication with vendors and internal stakeholders.

QUALIFICATIONS:

Required Qualifications:

  • Bachelors degree and 1-3 years of experience in project management or similar.
  • Advanced proficiency in Microsoft Excel and other Office applications (Word, PowerPoint, Outlook).
  • Knowledge of basic IT Infrastructure, IT Product Development, and IT Terminology.
  • Strong attention to detail and organizational skills.
  • Ability to solve problems.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
  • Understanding basic project management scheduling tools.
  • Ability to maintain detailed and accurate project documents.
  • Fundamental knowledge of budgeting processes with good financial acumen.
  • Understanding stakeholder roles and responsibilities.
  • Basic principles of identifying project risks.
  • Superior customer service attitude with commitment to excellence.

Preferred Qualifications

  • Experience coordinating with technical teams.
  • Familiarity with project management tools (e.g., MS Project, Smartsheet, DevOps).

JOB RESPONSIBILITIES:

  • Coordinate and track progress of small internal projects, ensuring deadlines and deliverables are met.
  • Perform accurate and timely data entry, maintaining project data and documentation (charter, user stories, etc.) and updates.
  • Utilize advanced Excel skills (formulas, pivot tables, charts) to analyze and report project budget data.
  • Regularly follow up with team leaders to gather status updates and resolve issues.
  • Prepare and distribute project status reports, presentations, and other communication to management and stakeholders.
  • Schedule and facilitate project meetings, including preparing agendas and documenting action items.
  • Identify and implement process improvements to enhance project efficiency and reporting accuracy.
  • Deliver administrative and operational tasks as assigned.
  • Manage and process project invoices.
  • On large initiatives, assist project managers in project planning and scheduling and help track project milestones and deliverables.
  • Complete resource allocation, reporting actuals, and budgeting tasks as assigned.
  • Write user stories and/or execute testing for project, when required.
  • Help project team identify and document project issues and risks (RAID log).
  • Organize the project team by creating and maintaining easy access to project documentation.
  • Aggregate individual project statuses for weekly PMO portfolio reporting.
  • Setup of new projects in Smartsheet. Modify Smartsheet project templates.
  • Communicate IT updates organizationally, as requested.
  • Champion IT department financial responsibilities (department budget assistance, invoices, reconciliations, forecasting).
