About This Position
Position Summary
The Payroll and HR Administrative Specialist is responsible for managing payroll processing and supporting a variety of human resources administrative functions. This role ensures accurate and timely payroll operations, maintains compliance with relevant laws and regulations, and provides essential HR support to employees and management. The ideal candidate is detail-oriented, organized, and possesses strong communication skills.
Key Responsibilities
Payroll Administration:
- Process bi-weekly payroll for all employees, ensuring accuracy and timeliness.
- Maintain payroll records, verify timekeeping data, and resolve discrepancies.
- Calculate and process deductions, such as taxes, benefits, and garnishments.
- Ensure compliance with federal, state, and local payroll regulations.
- Respond to payroll inquiries from employees and provide support as needed.
HR Administration:
- Assist with onboarding of new hires, including preparing documentation and initiating onboarding actions in the HRIS in a timely manner.
- Maintain employee personnel files and update HR databases.
- Support benefits administration, including enrollments, changes, and terminations.
- Assist in coordinating leave requests, including vacation, sick leave, and FMLA.
- Assist in recruiting processes, scheduling interviews, and communicating with candidates.
- Prepare HR reports and analytics for management review.
Compliance and Recordkeeping:
- Ensure all payroll and HR records are accurately maintained and securely stored.
- Support audits and provide documentation as requested.
- Stay updated on changes to employment laws and payroll regulations.
Employee Support:
- Respond to employee questions regarding payroll, benefits, HR policies and other related items.
- Maintain a high level of confidentiality and professionalism in handling sensitive information.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field preferred.
- 2+ years of experience in payroll processing and HR administration.
- Proficiency with payroll and HR software systems (e.g., ADP, Paylocity, Workday).
- Strong knowledge of payroll regulations and HR best practices.
- Excellent attention to detail and organizational skills.
- Effective communication and interpersonal abilities.
- Ability to handle confidential information with discretion.
Work Environment
This position is onsite, in-office with the potential to work a hybrid schedule for up to two days per week.
