Position Summary

The Behavioral Health Front Desk Receptionist serves as the first point of contact for clients, visitors, and community partners. This role supports smooth daily clinic operations through professional client checkin, scheduling, payment processing, phone coverage, and accurate handling of client records. The ideal candidate is compassionate, detailoriented, and comfortable working in a fastpaced outpatient counseling environment.

Key Responsibilities

Client Services & CheckIn

  • Greet clients warmly and ensure a welcoming and client-centered experience.
  • Check clients in and notify clinicians of their arrival.
  • Collect and verify insurance cards, IDs, and required paperwork.
  • Assist new clients with forms and orientation to clinic processes.

Scheduling & Appointment Management

  • Schedule, reschedule, and cancel appointments for all clinicians.
  • Manage clinician calendars to ensure appropriate appointment types, time allocations, and room usage.
  • Monitor schedule accuracy and anticipate conflicts or errors.
  • Communicate scheduling changes to clients and clinicians promptly.

Payment Processing

  • Collect copays, selfpay fees, and outstanding balances at checkin.
  • Assist clients with general billing questions and direct complex inquiries to the appropriate staff.

Phone & Communication Duties

  • Answer incoming calls, route messages, and respond to general inquiries with professionalism and confidentiality.
  • Provide accurate information regarding services, hours, clinician availability, and intake process.
  • Monitor voicemail and return calls in a timely manner.

Administrative & Documentation Tasks

  • Scan and upload documents into the EMR (intake forms, releases, insurance updates, clinical documents, etc.).
  • Maintain front desk forms, supplies, and client materials.
  • Support clinicians with administrative needs related to client flow.

Compliance & Confidentiality

  • Adhere to HIPAA, ACA ethical guidelines, and organizational privacy standards.
  • Safeguard client information in all interactions and documentation.
  • Follow internal policies for emergency procedures, safety protocols, and incident reporting.

Required Skills & Qualifications

  • High school diploma or equivalent (Associate degree preferred).
  • Minimum 1 year of experience in a medical, behavioral health, or customer service setting.
  • Strong interpersonal skills with the ability to remain calm and supportive in sensitive situations.
  • Excellent organizational, multitasking, and problemsolving abilities.
  • Proficiency with computers, scheduling systems, and scanning/office equipment.
  • Ability to maintain discretion and confidentiality at all times.
  • Reliable, punctual, and committed to supporting a teambased clinical environment.

Work Schedule

  • 32 hours per week
  • Monday–Thursday (exact daily hours customizable based on your clinic schedule)
  • Occasional additional hours for coverage or special events as needed.

Physical Requirements

  • Ability to sit, stand, and move between rooms for extended periods.
  • Ability to lift up to 20 lbs (paper files, office supplies, boxes).
