Position Overview
We are seeking a motivated Document Control Specialist to join our Fairfax office. This role is critical for managing incoming correspondence from multiple electronic portals, accurately uploading emails into the case management system, tracking deadlines, and coordinating with attorneys and staff on PACER, DocketBird, EOIR, and FOIA-related matters. This is a full-time, on-site role for the first 90 days, with the potential to transition to a hybrid schedule (three days in-office, two days remote) after successful completion.
Key Responsibilities
- Monitor and manage incoming emails, ensuring all correspondence is reviewed promptly and uploaded accurately into the case management system.
- Identify and prioritize urgent items to meet case deadlines and attorney needs.
- Support PACER and DocketBird access, including password maintenance, MFA monitoring, and resolving access issues.
- Maintain organized email inboxes with subfolders for efficient workflow.
- Provide support with front desk operations and ECAS/FOIA inbox as needed.
- Back up colleagues during absences.
- Other duties as assigned.
Who You Are
- Highly organized and detail-oriented with strong time management skills
- Fluent in Spanish, with strong written and verbal communication.
- Comfortable working in a fast-paced environment and managing multiple priorities.
- Able to follow written and verbal instructions accurately and efficiently.
- Collaborative and proactive, willing to support colleagues and learn new processes.
Basic qualifications:
- High School Diploma or GED
- Fluency in Spanish
- Strong organizational and detail-oriented skills
Preferred qualifications:
- Associate or Bachelor’s degree
- Experience with Salesforce, Microsoft 365, PACER, and DocketBird
