About This Position

Description:

JOB PURPOSE:

The position of Marketing and Events Specialist provides support to the firm-wide marketing and events teams by performing a wide range of event-specific duties. This position primarily focuses on planning conference center events and sponsorship activities, supporting regional events, and distributing firm tickets.

RESPONSIBILITIES AND ACCOUNTABILITIES:

  • Provides primary event support for outside organizations and clients utilizing the law firm’s New Orleans office conference center, including room reservations, catering orders, room set-up, A/V planning, walkthroughs, and day-of support.
  • Coordinates sponsorship activities at various events in the New Orleans area, including coordinating supplies, managing vendors, occasionally gathering attendees, and providing day-of support – setup, registration, and breakdown.
  • Assists with regional event support for various firm offices, including but not limited to serving as RSVP contact; preparing event materials; and assisting with vendor coordination as needed.
  • Provides on-site support at various firm events to handle set-up/break-down, registration, logistics, and other tasks, as needed.
  • Conducts research on potential vendors and venues (including restaurants, hotels, caterers, etc.) collecting availability, quotes, and information.
  • Works with team members on developing invitations and event collateral.
  • Coordinates with local printer for off-site printing needs, including signage, invitations, and collateral pieces.
  • Works with team members in developing invitation lists, pulls registration updates, and prints registration-related materials, including nametags, tent cards, check-in lists, etc.
  • Provides assistance in ensuring event information, contacts, and activities are current in the system.
  • Assists with post-event items, including but not limited to post-event surveys and attendee data entry.
  • Assists with expense tracking, analysis, and reporting on firm events.
  • Coordinates accreditation for firm events, including CLE, HRCI, SHRM, and CPE credits. Collects requests for firm tickets to community, sporting, and other entertainment events and handles distribution of tickets and maintaining usage lists.
  • Assists with firm promotional item requests and distribution.
  • Runs event-related errands outside of the office, such as event setup, picking up sponsor team packets, picking up orders, etc., as needed.
  • Assists team members with other event-related projects and duties as necessary.

Requirements:

MINIMUM QUALIFICATIONS REQUIRED:

  • Two-to-three years relevant event planning experience.
  • College degree with marketing or communications major preferred.
  • Experience with professional services organization or law firm preferred.
  • Experience working with Adobe Creative suite.
  • Experience working with customer relationship management (CRM) systems preferred.
  • Strong Microsoft Office skills.
  • High degree of attention to detail.
  • Readiness to work over-time as needed, especially during before and after hour firm events.
  • Ability to travel for off-site events is required.
  • Must have access to reliable transportation in order to run event-related work errands.
  • Ability to prioritize and organize work to meet tight deadlines under pressure.
  • Excellent interpersonal and client service skills with the ability to communicate well, both orally and written, at all levels of the organization.
  • Ability to function well as a team member and to also work independently, demonstrating good judgment.
