This role will be located at one of Discovery Land Company’s locations: Moncayo Golf & Ocean Club, set outside of Fajardo, Puerto Rico.

Moncayo Golf & Ocean Club is seeking an Office Manager- Executive Assistant to join the Development Department.

About the Role:

We are seeking an experienced Office Manager - Executive Assistant to join our team. The successful candidate will be responsible for managing the day-to-day operations of our office, ensuring smooth and efficient functioning of all administrative tasks. As an Office Manager - Executive Assistant, you will be the first point of contact for all visitors and clients and will be responsible for maintaining a professional and welcoming environment. You will also provide executive support to our senior management team, including scheduling appointments, managing calendars, and coordinating travel arrangements. Your role will be critical in ensuring the success of our business operations.

Minimum Qualifications:

  • Bachelor's degree in Business Administration or related field.
  • Minimum of 3 years of experience in an office management or executive assistant role.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
  • Proficient in Microsoft Office Suite and other relevant software applications: Docusign, Outlook Calendars, etc.

Preferred Qualifications:

  • Experience in the Construction industry.
  • Experience managing budgets and financial records.
  • Experience with project management software.

Responsibilities:

  • Manage the day-to-day operations of the office, including administrative tasks such as answering phones, responding to emails, and maintaining office supplies.
  • Provide executive support to senior management team, including scheduling appointments, managing calendars, and coordinating travel arrangements.
  • Act as the first point of contact for all visitors and clients, ensuring a professional and welcoming environment.
  • Assist with the preparation of reports, presentations, and other documents as required.
  • Maintain accurate records and files, ensuring confidentiality and security of sensitive information.

Skills:

As an Office Manager - Executive Assistant, you will utilize your excellent organizational and time management skills to ensure the smooth and efficient functioning of our office. Your strong communication and interpersonal skills will be essential in interacting with individuals at all levels of the organization, and your proficiency in Microsoft Office Suite and other relevant software applications will enable you to prepare reports, presentations, and other documents as required. Additionally, your experience in office management or executive assistant roles will be critical in providing executive support to our senior management team, and your experience in the Construction industry will be beneficial in understanding the unique needs of our business.

  • Ability to work in a team environment.
  • Ability to stay calm and focused during the busiest of times.
  • Ability to read, write, speak, and understand English; additional languages preferred.
  • Flexibility and ability to pivot to new projects and a desire to work in a fast-paced environment.
