Position Summary
Reporting to the VP of HR, this forward-facing professional and self-starter will serve as the first point of contact for our organization. This role is responsible for meeting and greeting guests, directing visitors, managing multiple phone lines, and routing calls to appropriate recipients. The ideal candidate will help coordinate meetings, handle correspondence between customers and internal employees, manage external room reservations, order office supplies, maintain office equipment, and perform various general office duties.
Schedule: Monday–Friday, 8:00 AM – 5:00 PM. Occasionally, the job may require starting earlier than 8:00 AM; these days will be known in advance.
What You'll Do
Guest & Communication Management
- Answer and direct all internal and external phone calls with a customer service-oriented approach
- Greet and direct all guests to meetings, programs, special events, and other activities
- Maintain a pleasant demeanor and demonstrate willingness to help others
- Handle incoming deliveries and route to appropriate recipients
Facility & Room Coordination
- Facilitate, enter, and modify room reservations for all members, partners, and Chamber departments
- Assist with room setup and teardown for outside groups
- Prepare coffee and maintain light upkeep of both 4th and 5th floor kitchens
- Ensure functional conference rooms; AV equipment and rooms are in order, provisioned and maintained
Administrative Support
- Keep current departmental rosters and phone lists as needed
- Order and maintain adequate inventory of office and kitchen supplies, vending machines, and beverages
- Manage Stampli and department expenses
- Manage all incoming and outgoing mail, including fax, postage, copiers, pickup, sorting, and delivery
- Create office/cubicle name tags, order name badges and business cards for new and existing employees
- Accept, log, and route all checks for the Chamber
- Perform other duties as assigned
HR Support
- Verify and process vendor invoices for payment
- Coordinate schedules for candidate screenings and interviews.
- Support new hire coordination and onboarding schedule
- Coordinate schedules for candidate screenings and interviews.
- Track and coordinate employee anniversary recognition
- Order and manage business cards, name badges, and office stationery
- HR Committee invites, registration and meeting support
- Support employee engagement initiatives and programs
- Assist VP of HR as necessary
- Work closely with the Lobby Concierge and Customer Relations
Required Qualifications
- Strong experience in customer service
- General problem-solving and decision-making abilities
- Excellent written and verbal communication skills
- A/V and computer proficiency, including Microsoft Office Suite, Monday.com, Salesforce, and Outlook
- Strong multitasking abilities and time management skills
- Self-starter who takes initiative and works respectfully with a diverse guest population
Preferred Qualifications
- Bilingual English/Spanish speaking candidates are highly encouraged to apply
