This role is a key operational support position within a fast-paced, digitally driven environment, enabling senior leadership to operate efficiently and focus on strategic priorities. You will be responsible for managing complex calendars, coordinating high-stakes meetings, and ensuring seamless execution of daily executive workflows. The position plays a critical role in maintaining organizational rhythm by keeping priorities aligned, communications clear, and actions on track. You will interact with cross-functional stakeholders across multiple time zones, ensuring smooth coordination and follow-through on business-critical initiatives. This is a highly trusted role requiring discretion, strong judgment, and the ability to anticipate needs before they arise. The environment is dynamic and collaborative, with a strong emphasis on ownership, efficiency, and continuous improvement. You will also contribute to streamlining processes and leveraging tools, including AI, to enhance productivity and reduce operational friction.
- Manage and optimize executive calendars, proactively resolving scheduling conflicts and protecting focus time aligned with strategic priorities.
- Coordinate meetings end-to-end, including logistics, agendas, materials, attendee alignment, and post-meeting follow-ups.
- Track and drive execution of action items, ensuring accountability and timely progress across stakeholders.
- Support daily operational workflows such as communications, scheduling coordination, and cross-team alignment.
- Organize and maintain structured systems for documentation, ensuring accessibility and process repeatability.
- Manage travel arrangements and expense reporting with accuracy and efficiency.
- Identify and implement small process improvements to increase operational effectiveness and reduce friction.
- Use digital tools and AI-enabled solutions to streamline administrative tasks and improve workflow efficiency.
- 4+ years of experience supporting senior leaders in a fast-paced executive or administrative support role.
- Proven ability to manage complex calendars, coordinate across multiple stakeholders, and handle competing priorities.
- Strong proficiency with productivity tools such as Google Workspace (Calendar, Gmail, Docs, Sheets, Slides).
- Demonstrated experience handling confidential and sensitive information with professionalism and discretion.
- Excellent written and verbal communication skills, with the ability to draft clear and professional correspondence.
- Strong organizational skills with attention to detail and the ability to anticipate needs proactively.
- Experience working in dynamic, high-growth, or tech-driven environments is highly preferred.
- Familiarity with AI tools or automation to improve efficiency and reduce manual workload is a plus.
- Competitive base salary ranging from $82,300 to $113,800 USD depending on location and experience.
