The Admission Services Representative supports Campus Visits, and serves as a partner and support member in the Admission Resource Center (ARC) for projects related to CRM (Customer Relationship Management) , including consolidating records, processing and updating first-year and transfer applications, and responding to inquiries (phone and email), supporting one to three admission counselors, and other duties as assigned by Senior Leadership. As a frontline staff member, this individual is responsible for maintaining strict confidentiality regarding visitors and student data.

Duties and Responsibilities:
Campus Visit Operations: Assist and facilitate the flow of daily Office of Undergraduate Admission campus visitors throughout the year. Responsibilities include welcoming families and checking in students; monitoring the reception area so that admission materials are replenished, troubleshooting broad and frequently asked questions about Villanova University and the admission process; facilitating tour and Nova Nation Presentations (NNP) departures; reserving rooms for Group Presentations; offering/securing meal vouchers as need be, etc. Will need to be knowledgeable of contacts/liaisons in other offices and departments to assist with the visit experience.

CRM & Data Operations: On a daily basis, review consolidating records (CR) of duplicate prospect and applicant records and assist with any Slate CRM special tasks as needed or assigned.

Application Processing & ARC Support: As a member of the ARC team, this individual assists with updating and processing 28,000+ first-year applications and 600+ transfer applications per year. This position also assists with performing GPA calculations, TCE (Transfer Credit Evaluations) data entry, answering phones, opening mail, sorting, filing, scanning, supporting designated counselors, etc.

Will also perform other duties and assist with projects as assigned.
Minimum Qualifications:
Formal Education: Minimum of high school diploma or equivalent required

Work Experience: Minimum 2 years of professional administrative experience in an office environment.

Work Skills (e.g., written and verbal communication skills):
  • Strong written and oral communication skills, a friendly and welcoming disposition, and the ability to demonstrate confidentiality and discretion.
  • Ability to perform multiple tasks while working under strict deadlines.
  • Outgoing, extremely organized and able to work independently, and as part of a team both in the office and in the wider campus community.

Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area): Experience with and Microsoft Office Suite (Word, Excel, Power Point, etc.)

Equipment Knowledge:Basic office equipment including telephone, scanner, copy machine, etc.
Preferred Qualifications:
Formal Education: Bachelor’s degree preferred along

Work Skills (e.g., written and verbal communication skills): Experience with the following technologies: Slate, Banner, Concur, etc. preferred.

Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area): General understanding of the workings of an office in higher education and the responsibilities related to information processing and data entry are helpful. Understanding of the college admission process is preferred.

This position falls within hourly grade 10 and the range is $25.86 – $28.02/hr. The final salary will be determined with consideration of several factors including the selected candidate’s qualifications, department budget availability, market data, and internal equity.
