Role Overview

The Client Administrator supports a team of Client Officers with providing exceptional client services. Professionalism, organization, responsiveness, an understanding of the financial industry and a client focus mentality are critical. The position will assist with day-to-day functions of the Client Officers that may involve responding to client requests, initiating financial or account-related transactions, maintaining client records, managing short term projects or any other requirements of the Client Officer.

Responsibilities

  • Provide day‑to‑day administrative support to a team of Client Officers by executing various tasks related to servicing client accounts, communicating with a variety of stakeholders, and supporting ad hoc projects.
  • Assist with onboarding new client relationships, maintaining and growing existing relationships, and closing exiting relationships, including preparing and processing required documentation.
  • Assist with the management and execution of a variety of projects, many of which require collaborating with other team members on document preparation, process management, and audit/reconciliation through project completion.
  • Perform other duties as assigned that are related to the successful delivery of service to RWA colleagues, trustees, clients, account owners, and beneficiaries.
  • Participate in the cash management process related to client accounts, including monitoring low cash balances and overdrafts, reviewing cash availability for requests, and preparing schedules of expenses.
  • Prepare necessary documentation and utilize internal systems to process client requests, including account opening, account closing, bill payments, and account maintenance.
  • Participate in the department’s periodic account reviews and audits, regularly using available tools to assess red flags and high‑risk situations.
  • Create and maintain tools to track recurring tasks and events, and take the lead on select projects requiring monthly or quarterly updates, reporting to the Client Officer or client as needed.
  • Assist Client Officers with the administration of client accounts, including clerical, administrative, and accounting‑related matters, and field routine inquiries from Portfolio Managers, trustees, and clients when appropriate.
  • Perform tasks to support the online client portal for RWA clients, including answering client phone calls and emails, troubleshooting technical issues, and assisting with the maintenance of client online access.
  • As requested, prepare client‑related documentation such as letters, forms, emails, and other account materials, and assist with client mailings as needed.
  • Assist with document retention and information storage in accordance with firm and regulatory policies, ensuring client and account information remains secure and accessible to appropriate parties.
  • Assist in the preparation of documents and reports for client meetings.

Education, Experience and Qualifications

  • Excellent written and verbal communication and presentation skills. Ability to represent the firm to clients, beneficiaries, and outside advisors in a professional, effective and timely manner.
  • Good problem-solving skills and attention to detail. Problems are technically or administratively varied and require the collection, interpretation and analysis of data from diverse sources.
  • Excellent Excel skills.
  • Familiarity with Salesforce or other client relationship management software.
  • Familiarity with brokerage platforms such as Charles Schwab or Fidelity Investments, and/or trust accounting systems such as SEI Private Trust Company, is a plus.
  • Basic understanding of investments, the various markets and tools used in wealth management.
  • Ability to handle multiple tasks in a fast-paced environment, and to establish priorities and complete assignments within frequently limited timeframes.
  • Be a proactive self-starter, who understands the details within a much larger context.
  • Formulate and present a plan of action consistent with department guidelines to resolve issues within scope of job.
  • Maintain confidentiality.
  • Proficiency with software applications, including Microsoft Office, and experience with computerized trust accounting systems.
  • A Bachelors’ Degree with one-two years of related work experience is preferred.

Compensation

The anticipated base salary range for this position is $70,000.00 - $100,000.00. Final base compensation will be carefully determined based on several factors including relevant knowledge, skillset, and experience. Additionally, this role may be eligible for other forms of compensation and benefits, such as discretionary bonus, health, dental, and vision plans, and employer 401(k) contributions.
