Position Overview:

We are seeking a detail-oriented and proactive Accounts Payable Specialist to join our accounting team in Lehi, Utah. This position will manage our full-cycle AP process. This role is critical to our supply chain operations, requiring a sharp eye for 3-way matching, international vendor relations, and landed cost adjustments. You will be the primary operator for our NetSuite and MineralTree platforms, ensuring our financial data is timely and accurate. This position reports directly to the company's controller.

Key Responsibilities

• Manage the MineralTree workflow, including attaching invoices, routing for approvals, and executing payment runs
• Oversee the AP inbox, ensuring all invoices and correspondence are processed daily
• Perform 3-way matching for received Purchase Orders (POs)
• Calculate and update Landed Costs and container billing
• Properly account for Inventory in Transit
• Manage prepaid inventory transactions: record vendor prepayments, apply them to associated POs and bills in NetSuite, and ensure proper amortization or application to inventory costs
• Reconcile vendor statements, research and resolve invoice/payment discrepancies, and communicate professionally with vendors and internal teams (purchasing, receiving, etc.)
• Manage weekly wire transfers, pre-payments, and confirmation vouchers, specifically handling high-volume accounts
• Serve as the primary point of contact for vendor inquiries. Professionally manage payment expectations and resolve discrepancies with a firm but polite demeanor—especially when handling high-pressure or urgent payment demands
• Onboard new vendors and verify banking/payment information to ensure compliance, including collections of W-9s
• Assist with month-end close activities, including accruals for received but unpaid inventory and prepaid adjustments
• Maintain accurate records, ensure compliance with company policies, and support audit requests
• Identify opportunities for process improvements
Qualifications and Skills
• Bachelor's degree in Accounting, preferred or related field.
• 2+ years of Accounts Payable experience, preferably in a wholesale, distribution, or inventory-heavy environment
• Experience with NetSuite or similar ERP, strongly preferred
• Experience using MineralTree or similar AP automation/payment platforms, strongly preferred
• Solid understanding of 3-way matching, PO-based billing, Landed Costs, and Inventory management
• Strong attention to detail, accuracy, and ability to manage high-volume invoices
• Proficient in Microsoft Excel and general office software
• Excellent communication skills for vendor interactions and internal collaboration
• Ability to prioritize tasks, meet deadlines, and work independently in a fast- paced setting
