Position Summary
The Contract Specialist supports the Legal Department and operational branches of RoadSafe Traffic Systems by reviewing, coordinating, and administering contracts related to company operations. This role ensures contract compliance, assists with contract preparation and documentation, and works closely with branch leadership to support project execution, regulatory compliance, and operational efficiency.
The position plays a vital role in ensuring that contractual obligations are clearly understood, properly documented, and executed in accordance with company policy, legal requirements, and customer expectations. The Contract Specialist will collaborate with branch management, district leadership, and external stakeholders to support contract management across RoadSafe’s lines of business, including traffic control, railroad services, pavement marking, and related construction operations.

Essential Duties and Responsibilities
Contract Review & Administration
  • Review contracts, agreements, and amendments to ensure alignment with company policies and legal requirements.
  • Assist the Legal Department with contract preparation, documentation, and administration.
  • Maintain organized records of contracts and related documentation.
  • Upload contract documentation and required information into applicable DOT and regulatory systems.
  • Coordinate internal approvals and ensure contract terms are communicated to operational teams.
Operational Support & Contract Compliance
  • Assist branches with the management and execution of contractual obligations.
  • Monitor compliance with contract terms, specifications, and reporting requirements.
  • Assist with documenting project status and maintaining accurate records of contract deliverables.
  • Support communication between internal teams and external stakeholders regarding contract requirements, scheduling, and scope changes.
Regulatory & Project Coordination
  • Assist with submission of traffic control plans for road closures, crossing closures, and related work activities.
  • Support coordination of right-of-way permits, bonding requirements, and regulatory documentation.
  • Assist with E-Verify, RailSafe, and other compliance requirements where applicable.
  • Coordinate documentation related to police details, permits, or other regulatory obligations tied to project contracts.
Administrative & Branch Support
  • Provide administrative support related to contract documentation, recordkeeping, and reporting.
  • Assist with research, drafting memorandums, and developing internal policies or procedures related to contract administration.
  • Provide general filing, reporting, and accounting support where required.
  • Perform district-wide or branch-level support tasks as directed by branch leadership or the Legal Department.
Project & Resource Coordination
  • Support coordination of project logistics, including scheduling meetings, pre-construction or pre-closure conferences, and equipment coordination.
  • Assist in coordinating temporary labor sourcing and related administrative processes.
  • Maintain communication across internal departments to ensure operational readiness for contract execution.

  • Builds professional relationships with internal and external stakeholders to support successful project execution.
Education, Experience, and Skills Required
  • Bachelor’s Degree in Construction Management, Business Administration, Legal Studies, or a related field preferred.
  • 2–5 years of experience in contract administration, contract review, or legal support, preferably within construction, traffic control, or infrastructure-related industries.
  • Experience reviewing contracts and ensuring operational execution aligns with contractual specifications.
  • Working knowledge of construction operations, traffic control, or related field services preferred.
  • Familiarity with union environments and labor relations considerations where applicable.
  • Understanding of construction equipment and operational resource planning is beneficial.
  • Strong organizational skills with the ability to prioritize multiple projects and deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience with Viewpoint or similar construction management software preferred.
  • Ability to work independently while supporting cross-functional teams.
