Reporting to the Operations Manager, the Intake Specialist performs the day-to-day clerical functions needed to support the
clinical operations of the department. This includes, but not limited to, heavy telephone intake, patient registration, booking
appointments, obtaining client data, identification, and insurance cards, typing correspondence, and managing phone & foot
traffic, monitoring, tracking, troubleshooting, and resolving problematic issues to ensure accuracy and completeness of patient
accounts. Adheres to Managed Care Insurance requirements & procedures. Responsible for verifying and/or obtaining initial
authorizations for services for new patients and verifying authorizations & current insurance coverage for existing patients.
He/she responds to & resolves billing and insurance related inquiries from clients, therapists, and doctors to ensure all
necessary authorizations are in place and accurate. He/she researches and follows-up on outstanding problematic accounts to
expedite collection activities. He/she reviews and processes all necessary Prior Approval forms and tracks their status. He/she
is also responsible for the verification of charge entry and Revs. He/she will monitor and correct Clinician and Provider charge
entry as well as enter missing Diagnosis as needed. This position participates fully in shared office tasks, including but not
limited to: receiving visitors, scheduling appointments, reception duties and filing. Provides back-up coverage for other support
staff and assists with coverage for other sites as needed. The Intake Specialist is required to collect co-payments, open and
close a cash drawer, and balance his/her drawer on a daily basis. He/she is required to work with patients to book follow up
appointments and with clinicians to reschedule or cancel patients when requested. Attends all staff meetings & trainings.
He/she assists in the training of new personnel, and any other task as requested by Operations Manager.

WORK EXPERIENCE REQUIREMENTS: At least 2 years of office experience. Included in such experience must be typing 40 wpm and handling high volume telephones. Must be able to multitask and maintain a calm demeanor. Must possess a sound knowledge of business systems and office procedures. Excellent customer service skills. Must be a team player. Meditech and Allscripts a plus.

EDUCATION REQUIREMENTS: High School diploma with emphasis on business related courses. One year advanced education and training in the business/secretarial/medical field or equivalent experience. Bilingual in English and Spanish is a plus.
