Department Overview
The Perioperative Materials Department, part of the Supply Management division within Supply Chain and Logistics, operates in alignment with Oregon Health & Science University's (OHSU) commitment to excellence. Based on the Marquam Hill campus, the department plays a critical role in supporting healthcare partners by ensuring the availability of essential supplies for a Level One Trauma Center and multiple Operating and Procedure Rooms. The in-office location provides direct access to managed inventory and supports close coordination with the staff reporting to this role. The OR/MSPU Supply Coordinator is responsible for managing materials, overseeing medical supply inventories, and coordinating vendor relationships to support the highest quality care in a cost-effective manner. This position focuses specifically on disposable supply needs associated with Perioperative (OR) Services and Multi-Specialty Procedure Unit (MSPU) areas. It is distinguished from other Supply Chain roles by its specialized emphasis on surgical supply requirements, as well as the increased complexity and critical impact of the assigned responsibilities.
Function/Duties of Position- Requisition Processing
- Analyzes and creates requisitions submitted by the department for accuracy.
- Generates purchase requisitions according to OHSU policies and procedures.
- Determines specifications, quantities, product availability, procurement methods, and sources of supply.
- Maintains records of product lines, availability, price, purchase terms, and vendor performance.
- Places purchase orders with suppliers; maintains parts of item file.
- Inventory Management
- Ensures supplies and equipment are available as needed.
- Reports on inventory trends.
- Takes action to address and correct issues.
- Pro-actively reviews work (surgery) schedules to ensure all supplies are available for planned procedures.
- Performs cycle counts and expires product management daily with accuracy.
- Works with service leads to finding substitute products.
- Ensures that all labels and par levels are updated and maintained through optimization.
- Systems/Process Management and Improvement
- Actively participates and contributes to the review, maintenance and improvement of inventory practices and procedures.
- Supports product introduction activities, documentation management, and data management (in Oracle and other sources).
- Customer Service and Problem-Solving
- Ensures the inventory program is utilized consistently.
- Monitors discrepancies.
- Proactively addresses supply needs and other customer service issues.
- Works collaboratively with AP, Purchasing, SPD team and service leads to manage inventory and proactively ensuring supply needs are met.
- Other duties as assigned (i.e. project work).
Required Qualifications
High School Diploma, GED or equivalent.
Four years of full-time purchasing experience or inventory management. Experience must include:
supply chain management,
demonstrated use of purchasing practices, procedures, and techniques (determining specifications, placing purchase orders and processing requisitions),
process improvement activities, and
coordination of supply replenishment activities.
- An Associate's or Bachelor’s degree can replace two years of the required experience.
Preferred Qualifications
- Direct work experience with providers and clinical staff.
- Oracle and Epic Experience desired.
Additional Details
Schedule's hours may vary infrequently, due to staffing needs for coverage and/or training. Additionally, should a physical inventory need to be completed (annually) the weekend of the event all staff are expected to participate.
Requires wearing scrubs and being in/out of the operating rooms and clean core material storage areas. Also requires standing and walking for most of the day.
This position is 100% in-person with no remote work available.
