THE OPPORTUNITY
We are seeking a highly organized and detail-oriented Real Estate Transaction Coordinator & Administrative Associate to join our Miami-based investment team. This is a unique opportunity to be at the center of a high-performing real estate investment firm, working alongside experienced professionals across acquisitions, asset management, and capital markets.
In this role, you will play a critical part in driving seamless transaction execution across acquisitions, dispositions, and financings while providing operational support to the firm’s investment team. WHAT YOU'LL DO
Transaction Management & Execution
- Transaction Coordination. Manage end-to-end transaction execution for acquisitions, dispositions, and financings across multifamily and commercial real estate assets.
- Due Diligence Management. Oversee due diligence workflows including tracking critical dates, coordinating document collection, and managing third-party vendor deliverables such as appraisals, environmental assessments, and property condition reports.
- Milestone Tracking. Monitor and communicate transaction milestones including PSA execution, earnest money deposits, financing deadlines, and closing timelines to keep all parties aligned.
- Closing Coordination. Manage closing logistics and ensure all required documentation is properly executed and distributed to relevant parties.
Deal Documentation & Reporting
- Deal Documentation. Maintain comprehensive and organized deal files including purchase agreements, loan documents, closing statements, and due diligence reports.
- Pipeline Reporting. Maintain the transaction pipeline and update deal tracking reports for senior management on a regular basis.
- Investment Materials. Assist the acquisitions team with preparing investment committee presentations, deal summaries, and offering memoranda.
- Document Management. Manage digital file systems and document organization for all transaction and property records.
Stakeholder & Administrative Support
- Stakeholder Coordination. Serve as a key point of contact for brokers, lenders, attorneys, title companies, and property managers to ensure timely transaction progress.
- Team Support. Provide high-level administrative support to the acquisitions and asset management teams, including calendar management, meeting scheduling, and correspondence.
- Meeting & Tour Coordination. Coordinate meetings, calls, and property tours with brokers, investors, and vendors.
- Vendor & Accounts Management. Assist with invoice tracking, expense reporting, and vendor payment coordination.
WHAT WE'RE LOOKING FOR
Core Competencies
- Transaction Expertise. Working knowledge of real estate transaction processes including acquisitions, dispositions, financings, and due diligence coordination.
- Due Diligence Coordination. Demonstrated ability to manage diligence workflows, track critical deadlines, and interface with third-party consultants and legal counsel.
- Document Management. Strong organizational skills with the ability to maintain accurate and accessible transaction documentation across multiple simultaneous deals.
- Stakeholder Management. Experience coordinating with a broad range of external parties including brokers, lenders, attorneys, title companies, and property managers.
- Administrative Proficiency. Skilled in executive-level calendar management, meeting coordination, document preparation, and general office operations.
- Project & Time Management. Ability to manage multiple concurrent transactions while maintaining meticulous attention to detail and meeting strict deadlines.
- Communication Skills. Excellent written and verbal communication skills with a professional presence and the ability to interact effectively at all levels.
- Technical Proficiency. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), Adobe Acrobat, DocuSign, and cloud-based document management platforms.
EDUCATION AND EXPERIENCE
The ideal candidate will bring the following qualifications:
- Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field preferred.
- 2–5 years of experience in real estate transactions, investment, brokerage, or administrative support within a commercial real estate environment.
- Experience coordinating real estate transactions including acquisitions, dispositions, or financings strongly preferred.
- Familiarity with due diligence processes, transaction documentation, and coordination with third-party consultants, lenders, and legal counsel.
- Demonstrated ability to manage competing priorities with strong attention to detail in a fast-paced, deadline-driven environment.
- Outstanding written and verbal communication skills.
