Requisition Number:R158703 MATERIALS MANAGEMENT MANAGER (Open) How You’ll Help Transform Healthcare:The Materials Management Manager is responsible for the 24hour/7day a week management of the CRMH Mini-Distribution department. Supervises staff and coordinates all activities of the department, including, but not limited to maintaining appropriate par levels of supplies and equipment, receiving, cleaning, storing, delivering, tracking equipment, including specialty rental medical equipment. Responsible for developing and managing a patient billing process for materials and equipment received.

The Materials Management Manager

  • Manages the day to day operations of the Carilion Main Distribution Center.

  • Oversees activities related to the supply inventory: receiving, storing, transporting, order filling and maintaining stock records of Distribution medical items, general supply items and equipment. Responsible for monitoring timely charges for supplies issued out of the department and timely charges/credits of supplies to the patients.

  • Ensures the distribution environment is in compliance with applicable regulatory requirements.

  • Works closely with other facilities and departments serviced by Distribution with respect to maintaining service as specified in the service line service level agreements.

  • Oversees establishment and maintenance of all Par Level systems designated throughout the organization. Works closely with nursing units and other clinical teams serviced by Mini-Distribution with respect to establishing, maintaining, operating and adjusting medical equipment the par levels.

  • Manages medical supply requisition process for Distribution inventory items for other Carilion facilities. Directly interfaces and interacts with sites in matters pertaining to inventory items. Manages timely acquisition, documentation and monitoring of established protocols for rental medical devices/equipment from 3rd party vendors. These supplies include but are not limited to specialty beds, appliances, Code Carts and cart supplies

  • Supervises and schedules all departmental staff for maximum efficiency and performance. Hires, trains, develop, and evaluate staff. Provides formal and informal educational opportunities for all staff members to maintain current skills and keep up to data on the changing techniques, products and healthcare environment.

  • Ensure staff members meet minimum performance standards and receive timely updates with respect to Carilion employee standards, policies and procedures. Ensure employees operate within Carilion policies and procedures, including compliance with any regulatory requirements.

  • Designs, sets up, optimizes and maintains the materials flow of the Mini-Distribution stock item inventory. This includes, but is not limited to: Selection and organization of appropriate storage shelving and materials handling equipment. Implementation and operation of a bin or item locator system. Proper rotation of inventory and timely checks for out-of-date items. Oversees employee adherence to available technologies and continually evaluates processes to maximize efficiencies and resources

  • Accountable for meeting assigned Distribution budgetary goals and service line performance indicators or statistics. Accountable for managing of department supply inventory.

  • Communicates and works closely with the Distribution Buyer. May be required to perform procurement tasks when the Distribution Buyer is absent.

  • Performs other tasks and collateral duties as may be directed by appropriate Carilion Materials Management such as serving on selected committees, participating in special projects and representing Materials Management at designated meetings. These currently include, but are not limited to, administering the Carilion standardized “Code Blue” Crash Cart program, Isolation Carts, and Latex Free Carts at CMC.

  • Works within established Carilion Clinic policies and procedures. May be asked to assist in formulating or revising these policies and procedures.

  • Participates in the implementation of customer service/supply agreements affecting Materials Management.

  • Conducts periodic customer satisfaction surveys and makes recommendations in response to the results.

  • Freely interacts, communicates and works closely with Carilion units, outside vendors, and others in matters impacting or affecting Mini-Distribution operations.

  • Participates actively at Materials Management staff meetings. Solicits input from others and proactively communicates business matters to the Director of Material Management Operations and other management staff as appropriate.

  • Investigates, recommends and implements processes to increase productivity and efficiencies in the department. Works with revenue management and financial services to continuously improve the accuracy of patient billing and revenue capture.

What We Require:

Education: Bachelor's degree or related field or comparable years of experience in lieu of degree.

Experience: Five (5) years purchasing or administrative experience in a healthcare environment. Three (3) years of management or supervisory experience in a healthcare setting.

Licensure, certification, and/or registration: Virginia Drivers License.

Other Minimum Qualifications: Must possess a driving record within the scope of Carilions Driver Regulations. Excellent communication skills. Familiarity with inventory and financial software systems. Familiarity with automated procurement and inventory control systems. Ability to work with minimal supervision. Ability to work with others in a team setting. Ability to meet deadlines within short time frames. Ability to respond to patient supply emergencies in a calm and collected manner. Ability to perform in a continually changing environment.
