JOB SUMMARY:
The Office Manager is responsible for overseeing the daily operations of the office to ensure organizational efficiency and effectiveness. This position manages administrative staff, supports leadership and cross-functional teams, maintains office systems and procedures, and coordinates communication across departments. The Office Manager plays a key role in fostering a positive work environment while ensuring that business operations run smoothly and professionally.
Requirements:RESPONSIBILITIES & DUTIES:
- Oversee and manage day-to-day office operations and administrative support functions
- Develop and implement office procedures, systems, and best practices to improve efficiency
- Perform aspects of order entry and fulfillment, accounts payable and receivable as needed to support the business
- Serve as a client-facing point of contact, maintaining strong relationships and ensuring a high level of service and communication with customers and partners
- Communicate directly with clients regarding billing, job status, and account inquiries, representing the company in a professional and solutions-oriented manner
- Manage office budgets, including supply orders, vendor contracts, and expense reporting
- Coordinate with HR, IT, and Accounting teams to support onboarding, payroll, and office infrastructure needs
- Ensure compliance with company policies, safety protocols, and confidentiality requirements
- Plan and coordinate meetings, events, and travel arrangements for staff as needed
- Act as a liaison between departments to ensure clear communication and alignment
- Manage office facilities, including maintenance, equipment, and cleanliness
- Assist leadership with special projects, reporting, and strategic planning support
QUALIFICATIONS:
- At least 5 years of experience in office management with 1+ years of administrative leadership
- An Accounting-focused background (AP/AR, billing, reconciliations) is strongly preferred
- Strong leadership, organizational, and interpersonal skills
- Excellent communication skills, both written and verbal
- Proficient in Microsoft Office Suite and office management software
- Ability to manage multiple tasks and deadlines in a dynamic environment
- Experience with budgeting, vendor management, and team coordination preferred
- High level of discretion and professionalism in handling confidential information
