This role is responsible for coordinating essential program activities, tracking ad hoc compliance metrics, monitoring kinship homes entering the network, and supporting organizational goals through effective data tracking and reporting. Additionally, the Administrative Program Specialist serves as executive assistant to the Vice President, Community-Based Care and the Director, Permanency, ensuring smooth operations, communication, and project management across both areas.

Position Description:
The Administrative Program Specialist provides high-level program and administrative support across multiple departments, serving as a liaison between internal teams, external partners, and leadership. This role is responsible for coordinating essential program activities, tracking ad hoc compliance metrics, monitoring kinship homes entering the network, and supporting organizational goals through effective data tracking and reporting. Additionally, the Administrative Program Specialist serves as executive assistant to the Vice President, Community-Based Care and the Director, Permanency, ensuring smooth operations, communication, and project management across both areas.
Primary Responsibilities:
- Serve as a key liaison across multiple programs and departments, independently coordinating communication, resolving issues, and ensuring alignment with organizational and SSCC objectives.
- Independently track, analyze, and maintain performance and compliance metrics to support short term or ad hoc projects as needed.
- Monitor kinship homes entering the Single Source Continuum Contractor (SSCC) network, exercising judgement to ensure timely referrals, accurate documentation, and appropriate follow-up with internal and external stakeholders.
- Prepare executive-level reports, track program metrics, and identify trends essential to SSCC success.
- Provide high-level executive administrative support to the Vice President, Community-Based Care (VP, CBC) and the Director, Permanency, including managing calendars, coordinating meetings, preparing materials/documentations, and independently following up on action items and priorities.
- Assist with data collection, analysis, and reporting for internal and external stakeholders, ensuring accuracy, relevance, and timeliness of information.
- Develop and maintain organized administrative and tracking systems to support efficiency and accountability across programs.
- Act as primary administrative point of contact for VP, CBC and Director, Permanency, exercising discretion in prioritizing request and communications.
- Handle confidential and sensitive information with a high degree of discretion and professionalism.
- Bachelor’s degree in Social Work, Human Services, Public Administration, or a related field. Relevant experience may be considered in lieu of education requirement.
- Minimum three (3) years’ experience in program coordination, administrative support, or data management
- Experience in child welfare or nonprofit experience.
- Experience with data tracking systems.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Commitment to the mission of improving outcomes for children and families through community-based care.
- Environment: Office-based
- Range of Schedule: Mon – Fri, 8:00 am to 5:00 pm
- Travel: Occasional (Must have reliable personal transportation, valid Texas Driver License and current Auto Insurance)
