Job Summary:

This support member to the Adult Mental Health Case Management/Community Based Services team is responsible for organizing, coordinating and monitoring all non-clinical operations of program under the direction of the Clinical Supervisor/Program Manager; maintaining program accounting records, program data regarding client insurance, eligibility, dates and types of service provided, tracking and submitting information for eligibility determination, coordination of data for submission to billing department; transport clients to appointments and assist in ARMHS services; operating and coordinating the management information system; and providing receptionist duties to back-up front desk operations.

Duties/Responsibilities:

  • Administrative & Operations Support through management of physical department needs, including sorting, prioritizing, and routing departmental mail to appropriate staff.
  • Execute high-volume scanning and documentation of ROIs, medical records, and financial data into Electronic Health Record. And, ensure all client admissions, discharges, and data entries are accurately completed within agency management information systems.
  • Assisting Case Managers with chart maintenance to ensure 100% adherence to Rule 79 compliance and state auditing standards. Case Aide will also maintain and submit weekly County Tracking spreadsheets for new intakes and case closures; provide regular caseload reports to the Intake worker.
  • Oversee and track programs, including the secure management and auditing of grant purchases.
  • Responsible for the administration and tracking of Housing Support funds.
  • Conduct monthly medical insurance verifications for all departmental clients to ensure uninterrupted service billing.
  • Collaborate with Case Managers on billing timeframes and medical coverage to resolve potential reimbursement issues.
  • Assist in providing safe transportation for clients to essential medical appointments and community errands, as well as provide ARMHS or CSP functions as needed to assist Case Managers and ensure client stability.
Requirements:

Required Knowledge, Skills, and Abilities:

  • The Case Aide must have people and problem-solving skills to assist and support clients with severe and persistent mental illnesses and their families.
  • The position requires solid organizational skill and ability to make contacts and establish relationships to get information necessary for the program to function within the larger system.
  • Knowledge of computers and software.
  • Billing and accounting procedures.
  • Medical records management.
  • Personnel policies and procedures.
  • Skills and competence to establish supportive, trusting relationships with persons with severe and persistent mental illnesses
  • Respect for client rights and personal preferences in treatment is essential.
  • Must have a valid Minnesota Driver’s License.
  • Competency in using Excel and Word programs.

Education and Experience:

  • Minimum of a high school diploma.
  • The program assistant may have education and experience in the human service field (e.g., associate or bachelor’s degree in human services or experience as an inpatient unit clerk or in a medical clinic), or office management or both.

Physical Requirements:

Employees must be able to:

  • Hear and speak in order to use telephones and communicate with people inside and outside the office.
  • Physical ability to move around the office area and in the community throughout each workday.
  • Visual ability to review detailed reports and information, and to use the computer for keyboarding.
  • Bend at the waist or crouch for filing charts in the filing cabinets.
  • Physical ability to Exert up to 20 pounds or up to 10 pounds of force frequently.

Work Environment:

The employee must be able to tolerate transporting clients in their own vehicles, entering clients’ homes, and interacting with clients at different functions. Seasonal weather conditions and frequent changing from inside/outside work environment are required. There are many duties performed in an office setting.
