This role is a high-trust, high-impact support position designed to enable senior leadership to operate at maximum efficiency within a fast-paced, mission-driven environment. You will act as a key extension of executive leadership, ensuring seamless coordination of calendars, communications, travel, and operational priorities. The position requires exceptional organizational discipline, strong judgment, and the ability to anticipate needs before they arise. You will play a central role in managing information flow, preparing meetings, and ensuring follow-through on critical action items across the organization. In addition, you will contribute to planning and executing events, supporting leadership cadence, and improving operational systems that enhance productivity. This is a highly visible role where discretion, adaptability, and precision are essential to supporting company-wide impact.
- Manage complex, multi-time-zone executive calendars, prioritizing meetings based on urgency, strategic importance, and business impact
- Protect executive focus by triaging requests, resolving scheduling conflicts, and maintaining efficient time allocation
- Coordinate travel logistics, including itineraries, accommodations, reservations, and expense reporting with high attention to detail
- Support planning and execution of leadership meetings, offsites, internal cadences, and large-scale events
- Prepare agendas, take detailed meeting notes, track action items, and ensure timely follow-up on decisions and deliverables
- Draft, edit, and manage executive-level communications with clarity, professionalism, and strong attention to tone
- Serve as a liaison between executives, internal teams, external partners, and vendors, ensuring smooth communication flow
- Anticipate needs, identify gaps, and proactively solve operational challenges before they escalate
- Maintain confidentiality while synthesizing and escalating key updates, risks, and insights to leadership
- Continuously improve administrative systems, templates, and workflows to enhance executive productivity
Requirements:
- 0–5 years of experience in executive support, administration, coordination, or related roles
- Strong organizational and time management skills with the ability to manage competing priorities
- Excellent written and verbal communication skills with executive-level clarity and professionalism
- Proven ability to exercise sound judgment, discretion, and confidentiality
- Strong project management skills with the ability to independently drive tasks to completion
- High emotional intelligence with the ability to navigate relationships across all levels of an organization
- Comfortable working in fast-paced, ambiguous environments with shifting priorities
- Proactive mindset with strong problem-solving skills and ability to anticipate executive needs
