Role Summary

The Front Desk Coordinator at Terra Fertility plays a critical role in delivering a welcoming and informed patient experience. As the first point of contact, this individual ensures exceptional service in alignment with Terra Fertility’s mission: to reimagine fertility care by improving accessibility, transparency, education, and inclusivity for every patient. This position supports the clinical team in daily operations and works closely with administrative and financial staff to provide seamless care.

Responsibilities

  • Serve as the initial point of contact for patients, ensuring a welcoming and supportive atmosphere.
  • Check patients in and out for appointments and coordinate scheduling across the clinic.
  • Monitor patient readiness for appointments and assist in maintaining scheduling compliance.
  • Schedule appointments for consultations, procedures, and anesthesia as needed.
  • Check daily outstanding balances and checking verification of benefits for upcoming appointments
  • Collect and process payments and prepare daily reconciliation batches for finance.
  • Collaborate with call center and administrative teams for optimal patient communication.
  • Communicate patient updates with clinical and financial teams using the EMR system.
  • Support administrative tasks including scanning, faxing, and managing patient forms and records.
  • Advocate for patient needs and escalate concerns as appropriate to leadership.
  • Coordinate with the VP of Clinical Operations and Practice Adminstrator to maintain operational efficiency.

Employment Details

This is a full-time, non-exempt, on-site position in Dedham, Massachusetts. The position requires availability during daytime clinic hours with occasional rotational weekends and holidays.

Compensation

  • The pay range for this role is $23–$28/hour, based on experience, knowledge, and relevant certifications.

Requirements:
  • Associate or bachelor’s degree preferred.
  • Exceptional customer service and interpersonal communication skills.
  • Previous experience in a healthcare/biotechnology setting preferred.
  • Past professional experience in Women's Health or Fertility preferred
  • Familiarity with Microsoft Office Suite and EMR systems.
  • Proficiency in Spanish/Portuguese preferred but not required.
  • Ability to multitask in a fast-paced, high-volume environment.
  • Flexibility to work early mornings, some weekends, and holidays as needed.
