Director, Integrated Project Management and Digital Transformation

The Director, Integrated Project Management and Digital Transformation, University Communications and Marketing (UCM) is a key member on the UCM Strategy and Integration team. The Strategy and Integration team is responsible for establishing and driving best practices in project management across the division, strategic content integration, enhanced workflows, and cross-functional team engagement models in support of the university's strategic priorities. In addition, UCM is in the beginning of developing a roadmap for how to integrate AI tools into workflows and operations and the S&I team will lead the development of unit best practices for AI usage, adoption and implementation.

The person in this role will champion this effort, in close partnership with the Head of Strategy and Integration and will be responsible for developing and spearheading UCM's AI roadmap, including identifying opportunities to integrate AI tools into internal UCM processes and add value using AI for campus partners. The person in this role must bring demonstrated change management experience in order to support and foster the adoption of new ways of working and collaborating across teams.

In conjunction with the Head of Strategy and Integration, this role leads the development, refinement and implementation of marketing and communications processes and workflows. This work is done in close collaboration with UCM colleagues to enhance and refine repeatable processes, templates and tools that translate communications and marketing plans into integrated project plans that guide development, production, and execution across a range of functions including content, print design, digital and web design, video, photography, copywriting, media relations, social media, and advertising. Working closely with the Head of Strategy and Integration, this person will coordinate cross-functional centers of excellence to deliver strategic outputs will meeting established timelines and budgets.

This role oversees a team of project managers and works closely with colleagues across UCM and with key University stakeholders to establish and drive operational efficiencies, measurement tools and overall division excellence while ensuring alignment and reporting against institutional targets and measurements. In additional, this role is a working manager, expected to roll up their sleeves and serve as an integrated marketing and communications project manager and key point of contact with project originators facilitating delivery of UCM services across the portfolio. They will also maintain additional hands-on responsibilities such as copy editing and digital asset management.

The ideal candidate has:

  • At least five (5) years of professional experience in project or program management, ideally as part of a communications and marketing team. Higher education experience a plus.
  • PMP or other project management certificate preferred but not required. Should the chosen candidate not have certification, PMP training support will be offered.
  • Experience leading organizational transformation including the successful implementation and adoption of project management best practices, new technologies and AI workflows.
  • Experience managing a team including overall performance management, coaching and motivating team members to continue growing and developing as professionals.
  • Must thrive in a fast-paced environment, while managing a high volume of projects and deadlines.
  • Exceptional interpersonal and communications skills that can drive performance and achieve results constructively.
  • Expert level experience with project management tracking tools. Familiarity with Monday.com and/or Basecamp preferred but not required.
  • Experience working with LLMs such as Claude, Gemini or ChatGPT and building agentic workflows.

Job Summary

Leads team and supports strategic initiatives for senior leadership. Organizes and monitors projects, assesses risks and issues, and prepares presentations and communications. Develops policies and procedures and ensures compliance with regulations. Maintains records, monitors budgets, and performs related financial duties.

  • Central project coordinator for integrated marketing communications campaigns; responsible for developing and leading the master project plan, maintaining that plan using the established project management tools (e.g. Monday.com, Basecamp) communicating with participating functions to ensure execution against established milestones and deliverables, and communicating development status to leadership and associated stakeholders and agency partners.
  • Tracking and reporting coordinator: responsible for ensuring proper maintenance for project management tools (e.g. Monday.com, Basecamp) across the project management team, summarizing project management status & effectiveness, and reporting to leadership and key stakeholders.
  • Project management and technological process improvement change agent: working with Head of Strategy and Integration to drive process change and adoption that facilitates more effective and efficient marketing communications development, execution, and status tracking & reporting. The ability to engage colleagues with building trust in a thoughtful, transparent and motivational manner will be key skills in this role.
