Sign-on Bonus: $5,000, paid in installments (50% at 90 days, 25% at 6 and 12 months), subject to eligibility and continued employment.
POSITION SUMMARY:
Little Oaks Pediatrics is seeking an experienced and dedicated Practice Manager to lead operations at our pediatric clinic in Raleigh. This position oversees daily operations of a busy, patient-centered practice, with responsibility for financial performance, staff leadership, and overall efficiency. In this role, you’ll ensure patients and families receive seamless, high-quality care in a supportive, nurturing environment. Serving as a key bridge between clinical excellence and operational performance, you will partner closely with physicians and leadership to drive results, support your team, and foster a positive, collaborative workplace culture.
ESSENTIAL RESPONSIBILITIES:
- Responsible for the day-to-day functions of patient and office flow including responding to patient concerns, adhering to established policies and procedures and ensuring appropriate alignment to expense structure.
- Works with other Managers, Patient Access to ensure smooth flow of communication and consistency.
- Maintain and report analytical and statistical data as required including daily and monthly eMR reports (schedule, appointment types, Charges and payments, etc.)
- Develop and implement Policy and Procedures for various administrative departments and make recommendations and changes as needed.
- Establishes and maintains safety, policies and procedures, objectives, and infection control in the department partnering with the clinical team.
- Oversee physical properties of offices are kept in a good state of repair and manage office equipment and supplies.
- Recruit, manage, train, coach and understand all patient access positions for all locations to include; Billing, verification, Patient Access (check in and checkout), Scheduling, Call Center, and Medical Records.
- Assist in the processing of employee entries for timekeeping and payroll.
- Identify, recommend, and implement practice needs including, but not limited to, staffing, services, equipment and facilities
- Monthly meetings: establish an agenda in consultation with physicians; prepare data for meeting; contribute to decision-making
- Responsible for executing projects / changes as directed by the provider / management
- Ensures timely reporting to government agencies
- Liaison with various departments as needed to include, but not limited to: Revenue Cycle, Clinical, Marketing, Business Development, HR, Accounting, IT
- Ensure practice is running efficiently to keep patient experience high
- Responsible for keeping practice in compliance with company policy and government regulations
- Works with Playground Pediatrics to aid in the development and execution of marketing initiatives
- Regular and reliable attendance
- Perform other duties as assigned
- High school diploma or GED equivalent required
- Minimum of five (5) years of supervisory and leadership experience in a medical office
- Proven track record of increasing practice volume and revenue
Preferred Qualifications
- Bachelor’s degree in Healthcare Administration, Business Administration, or a related field
- Pediatric experience highly preferred
