Accountabilities:
  • Provide comprehensive executive support including calendar management, meeting coordination, travel planning, correspondence handling, and prioritization of incoming communications.
  • Prepare presentations, reports, agendas, briefing documents, and materials to support leadership meetings, donor engagements, and strategic initiatives.
  • Coordinate donor meetings, stewardship activities, cultivation events, and follow-up actions while maintaining accurate records within CRM platforms.
  • Compile and distribute weekly, monthly, and quarterly fundraising and revenue reports, dashboards, and executive summaries for leadership review.
  • Monitor fundraising performance against goals, identify trends or variances, and flag potential risks or opportunities for action.
  • Partner with finance and development teams to ensure data accuracy, reporting consistency, and alignment across departments.
  • Support execution of campaigns and development initiatives by tracking timelines, deliverables, budgets, invoices, and expenses.
  • Manage logistics and materials for board meetings, committee sessions, and external stakeholder interactions while maintaining confidentiality at all times.
  • Maintain organized filing systems, documentation processes, and additional administrative workflows as required.

Requirements

  • Bachelor’s degree or equivalent professional experience.
  • 3–5+ years of executive assistant or senior administrative support experience, ideally within nonprofit, fundraising, or development environments.
  • Proven ability to manage multiple priorities, shifting deadlines, and executive calendars in a fast-paced setting.
  • Strong written and verbal communication skills with the ability to draft polished correspondence and reports.
  • High level of discretion, professionalism, and sound judgment when handling sensitive information.
  • Advanced proficiency in Microsoft Office Suite, especially Excel (pivot tables, data analysis), PowerPoint, and Outlook.
  • Experience using CRM systems such as Salesforce; familiarity with Concur is a plus.
  • Background in reporting, analytics, revenue tracking, or financial data management.
  • Strong interpersonal skills, emotional intelligence, attention to detail, and proactive problem-solving abilities.
  • Experience with dashboards, visual reporting tools, donor stewardship processes, or event coordination is advantageous.
