Project Manager/Executive Administrative Assistant

The Project Manager/Executive Administrative is a dual-role position responsible for managing organizational projects while also performing high-level administrative support duties. This position supports the successful execution of initiatives across departments and ensures the smooth operation of day-to-day administrative functions. This role requires strong organizational skills, multitasking ability, and proficiency in both project coordination and administrative management.

Key Responsibilities:

Project Management Responsibilities

  • Develop, coordinate, and implement project plans, schedules, and resource allocations.
  • Monitor project progress, manage deadlines, and report on performance to leadership.
  • Facilitate regular project meetings, including preparing agendas and documenting action items.
  • Communicate with internal teams and external stakeholders to ensure alignment and progress.
  • Identify potential risks and recommend mitigation strategies.
  • Maintain accurate project documentation, including plans, reports, and change logs.
  • Coordinate and manage internal and external event credentialing processes.

Executive Administrative Responsibilities

  • Provide direct administrative support to executives and managers, including calendar management, meeting scheduling and travel coordination.
  • Draft, format, and distribute documents such as correspondence, reports, and presentations.
  • Maintain filing systems, records, and document archives with high attention to confidentiality and accuracy.
  • Assist with office operations including supply management and vendor coordination.
  • Manage and process expense reports and invoices and oversee corporate credit card transaction processing using ReQlogic.
  • Serve as the point of contact for internal and external communications and inquiries.
  • Coordinate cross-departmental activities and ensure follow-up on key initiatives to include external partner projects and travel security.
  • Monitor social media activities of Co-Senior Pastors and the First Family to identify potential issues or threats.

Qualifications:

  • Associate’s degree required, bachelor’s degree in business administration, project management, or a related field preferred.
  • Minimum of 3 years of experience in project coordination or project management.
  • Minimum of 3 years of experience in an administrative assistant or executive support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management tools (e.g., Asana, Trello, MS Project) and digital document storage platforms (SharePoint)
  • Strong written and verbal communication skills.
  • Excellent time management and organizational abilities.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
