Administrative Assistant I
Health Department

General Statements of Duties
This position is assigned to the Clinic Team to provide total management support and immunization coordination. This includes clerical responsibilities that must be completed in support of, or for, the day-to-day operation of the Clinical Services Team. This position performs duties of an Administrative Assistant 50% of the time for all programs in Clinical Services and 50% of the time for Immunization Coordination. Immunization coordination work involves a monthly assessment of the immunization status of designated birth cohorts in the county. Establishes and maintains records of clients within the cohort who are delinquent in their immunization status. Develop and implement a system to update immunization history/status, including contact with families, other medical providers, schools, and childcare homes/centers. Data entry of updated immunization history/status. Acts as a liaison between the health department and other medical providers in the community.
The work schedule is Monday through Friday, 8 AM to 5 PM. This position must be flexible enough to be able to adapt to change due to variations in day-to-day operating procedures.

“Public Health is a first responder agency for natural disasters (e.g., hurricanes, tornadoes, floods, winter storms), naturally occurring infectious disease outbreaks (e.g., influenza, SARS), technological hazards (hazardous materials releases, critical infrastructure disruptions), and terrorist incidents. This position, like all other positions within the Department, may be required to participate in any emergency response activities as deemed necessary by the Health Director or his/her designee. Availability during emergencies and exercises is required.”

Examples of Duties Performed
  • Assists with orientation of new employees as needed (ex., all required orientation training: OSHA, Title X, Child Abuse and Neglect, Human Trafficking, ICS Courses, etc.)
  • Assists with maintaining inventories and supplies. Orders and maintains inventory of all necessary forms used in daily clinic operations and all office supplies used by clinic staff.
  • Assures health alerts and communicable disease follow-ups are communicated to other community health care providers and agencies as needed.
  • Compose letters, reports, forms, and memos for clinic staff as needed.
  • Maintains a variety of records and reports. Records meeting notes and assists with special projects (i.e. flu vaccine clinic).
  • Understands protocol for the documentation of policies and procedures. Maintains an electronic copy of all clinic program manuals, policies, and procedures, and updates them as needed per the Director of Nursing authorization.
  • On occasion, enhances clinic flow by assisting examiners with patient exams as needed.
  • Participates in monthly team meetings and annual activity planning. Records, types, and distributes meeting minutes to the appropriate personnel as needed.
  • Attends and assists with all programmatic clinic trainings/webinars. Assists with the arrangement and dismantling of training areas.
  • Provides immunization tracking and follow-up for identified clients in the designated cohorts.
  • Documents all contacts made with families, other medical providers, schools, or childcare centers in attempts to secure needed immunization statuses.
  • Collaborates with medical providers, area programs within the health department and community partners regarding outreach, tracking, follow-up, and ensures clients with delinquent immunizations receive needed immunizations regardless of barriers.
  • Collaborates with the State immunizations consultant as needed.
  • Attends educational workshops and trainings to obtain updates on current immunization practices and guidelines.
  • Serves as a community resource for clients and community partners, while providing current immunization information and tracking, and community outreach.
  • Assists in communicable disease outbreaks and mass immunization clinics, as deemed necessary.
  • Attends staff conferences, serves on agency committees, and performs other general health department functions as appropriate.
  • May be required to participate in any emergency response activities, as deemed necessary, by the Health Director or his/her designee.
  • Executes any additional duties or assistance required by the medical director and/or clinic nursing director.
  • Recruitment Standards
  • Ability to plan, organize, delegate, review work, and maintain workflow and procedures.
  • Thorough knowledge of all clerical practices,
  • Ability to exercise judgment and discretion in problem situations.

Minimum Education and Experience
  • High School diploma with 2 years of office experience.
  • Basic knowledge and familiarity with computers and computer software.
