THE OPPORTUNITY
The Administrative Assistant provides primary support for the Office Manager, Director of Health Services, and the students of Babson and the Olin College of Engineering. Responsible for daily administrative operation and clerical needs of Health Services and provides general administrative support to the nurses and clinicians.
Health Services is part of the Student Success portfolio in the Division of Learner Success and Campus Life, which also includes Accessibility Services, Case Management and the Campus Assessment, Response, & Evaluation (CARE) Team, Counseling and Psychological Services (CAPS), Office of First-Generation Student Success, Student Advising & Success, and Wellness & Prevention Services.

WHAT YOU WILL DO
Assists the Office Manager in greeting patients and others who present, triaging phone calls, and scheduling appointments. Also assists in building and maintaining staff schedules in the EMR.
Performs reception duties that includes scanning, copying, faxing, closing procedures, etc.
Assists the Office Manager in monitoring and responding to the Health Services email account and in distributing health insurance cards and related materials.
Assists the Director and Office Manager in ensuring the College’s compliance with Massachusetts’s immunization regulations, Babson’s health requirements, Federal OSHA standards regarding risk exposure, and monitoring staff licensing and training expiration dates.
Assists the Director in maintaining medical, laboratory, and nutrition supply inventory, monitoring expiration dates and placing orders for new materials as needed.
Maintains and monitors student prescription medications delivered to Health services.
Monitors patient referrals and assists students with off campus scheduling needs.
Performs weekly safety inspections and monitors and maintains select office equipment.
Assists with website updates and creation of social media content and other patient resources.
Takes notes and prepares meeting minutes for departmental meetings.
Assumes additional responsibilities and assists with other projects as needed.

WHAT EDUCATION AND SKILLS YOU WILL NEED
Associate’s degree and equivalent experience.
Prefer 3-5 years of experience working in a medical setting.
Must have excellent organizational, written, and oral communication skills
Ability to prioritize and coordinate multiple tasks with frequent interruptions while meeting strict deadlines
Ability to work independently and as a team, anticipate needs, act with sound judgment, and maintain strict confidentiality in all aspects of work
Must have technical skills including experience working with EMR systems and Outlook; as well as proficiency using Microsoft Word, Excel, and Power Point
Maintains strict confidentiality and compliance with health care regulations
Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results
Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions
HOW AND WHERE YOU WILL WORK
This position is scheduled to work 35 hours per week for 42 weeks a year. It is not scheduled during school breaks and mid-may through mid-July
Must be able to stand or sit for long periods.
May require occasional heavy lifting.
May require participation in health events outside of the health center such as flu clinics, student wellness fairs, Health Services tabling events, and orientation activities.
Requires work onsite 5 days a week; the on-campus requirement is subject to modification based on organizational need.
ADDITIONAL SKILLS YOU MAY HAVE
Positive attitude, empathy, passion for college health
Bachelor’s Degree strongly preferred
CPR certification BLS provider (CPR & AED)
Medical Assistant certification
Prior experience with Medicat EMR and Canva.
This is a non-exempt position with the following pay range: $28.91/hour - $32.12/hour; the role is also eligible for bonuses based on performance and budget.
Babson College offers a comprehensive benefits package for full-time employees working at least 28 hours per week.
