This role is responsible for leading high-volume retrieval operations within a fast-paced healthcare data environment, ensuring timely, accurate, and compliant processing of medical record requests across a large vendor network. You will oversee day-to-day operational execution, manage performance across multiple vendor relationships, and translate data into actionable priorities for teams. The position blends people leadership, operational oversight, and continuous improvement, with a strong focus on quality, turnaround time, and efficiency. You will act as a key escalation point during high-pressure situations while ensuring smooth workflow across distributed teams. This is a highly collaborative role that bridges operations, vendors, and internal stakeholders to keep retrieval processes running seamlessly. - Lead daily retrieval operations, ensuring teams consistently meet quality, productivity, and turnaround time targets across high-volume workflows.
- Monitor operational queues, volume trends, and workflow health, proactively adjusting priorities to maintain performance and continuity.
- Oversee execution during peak periods, escalations, and disruptions, ensuring timely resolution and minimal operational impact.
- Manage and develop team members through coaching, feedback sessions, and ongoing performance support.
- Partner in hiring, onboarding, and training to build strong, capable, and high-performing operational teams.
- Identify operational inefficiencies using data and team feedback, driving process improvements and workflow optimization.
- Collaborate with vendors and internal stakeholders to ensure alignment, communication, and effective execution of retrieval processes.
Requirements:
- 4+ years of professional experience in operations, including at least 2 years in a people management or supervisory role.
- Experience in production-based, high-volume operational environments with direct involvement in daily execution.
- Working knowledge of healthcare record retrieval processes or similar healthcare operations is strongly preferred.
- Strong data literacy with experience using KPIs and performance metrics to guide decisions and priorities.
- Proven ability to coach, develop, and retain team members in fast-paced environments.
- Excellent organizational, problem-solving, and decision-making skills with strong attention to detail.
- Strong communication and stakeholder management skills, with the ability to work across vendors and internal teams.
- Ability to balance accountability and empathy while managing performance in high-pressure situations.
