Job Description

POSITION OVERVIEW

The Operations Coordinator will play a key role within the company and serves as the first point of contact between Fracht and its customers; responsible for communication and arranging of transportation to meet customer needs. Ensure customer satisfaction, work efficiently, professionally, and maximize profits by minimizing potential for error and upselling other services. Participate in implementing and maintaining internal controls that will ensure the company Export/Import decisions are supported and in compliance with policies.

DUTIES AND RESPONSIBILITIES

  • Support and coordinate domestic and international shipments across one or more modes (air, ocean, ground), handling imports, exports, or both, depending on business needs.
  • Assist with rate requests by gathering shipment details and providing customers and/or agents with pricing and transit options, as applicable.
  • Create and maintain shipment files for assigned movements, which may include booking, pickup and delivery coordination, and documentation management through final delivery.
  • Serve as a point of contact for customers, overseas agents, carriers, truckers, customs brokers, and internal teams, providing shipment updates and operational support as required.
  • Enter shipment, booking, and billing information accurately and timely into operating systems, including documentation such as AES, EDI, AMS, ISF, booking confirmations, master bills, and related records, as applicable.
  • Support import and export compliance activities relevant to assigned shipments, which may include customs entries, ISF filings, AMS filings, document transfers, and regulatory reporting.
  • Coordinate with overseas partner agents on assigned shipments to ensure alignment on routing, documentation, and service expectations.
  • Communicate with airlines, steamship lines, trucking providers, and other vendors regarding rates, charges, cutoffs, and shipment milestones for assigned movements.
  • Assist with classification of goods and identify when additional regulatory or compliance information is required (e.g., PGA data, ADD/CVD), based on scope of responsibility.
  • Monitor assigned shipments for potential issues or delays and escalate exceptions as needed.
  • Follow established SOPs, work instructions, and checklists to ensure consistency, accuracy, and compliance.
  • Respond to customer inquiries related to shipment status, rates, documentation, and delivery timelines, within assigned scope.
  • Perform additional operational support tasks and other duties as assigned based on workload and team needs.

EDUCATION AND/OR WORK EXPERIENCE REQUIRED

  • Minimum 3 years of experience in Export/Import Operations.
  • Proficient in Microsoft Office applications (Excel, Word, Outlook).
  • Cargowise software experience, but not required.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Excellent written and verbal communication skills.

PHYSICAL REQUIREMENTS

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
  • Must be able to lift and carry up to 20 lbs.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to talk, listen and speak clearly on telephone.
