Job Description

Job Summary:

The Department of Social and Behavioral Sciences seeks an Academic Engagement Coordinator to support academic programs and student engagement initiatives within a mission-driven community committed to advancing health equity.

Reporting to the Assistant Director of Academic Affairs, the Academic Engagement Coordinator works independently to coordinate academic administration, admissions, student engagement activities, and departmental events. This role serves as a key resource for students and faculty, ensuring smooth operations, policy compliance, and high-quality academic programming.

Job-Specific Responsibilities:

Duties and responsibilities include, but are not limited to, the following:

  • Serves as a principal source of information on departmental academic policies and advises faculty, staff, and students on degree requirements and procedures
  • Ensures smooth day-to-day coordination within the Academic Affairs unit and frequently liaises with School offices including Admissions, Student Affairs, Registrar, Information Technology, and Office of Educational Programs
  • Maintains and monitors student academic records and milestones; ensures compliance with School and University policies and identifies issues requiring immediate attention
  • Coordinates course administration including scheduling and sequencing as well as ensuring that syllabi and Canvas sites are aligned with School standards; supports curriculum-related meetings, including preparation of agendas, minutes, and follow-up on action items; may assist in coordinating work of student employees
  • Plans and executes academic and student engagement events, including recruitment activities, orientation, exam administration, seminars, alumni panels and commencement. Manages onsite and virtual event logistics including registration, catering, AV and other duties as assigned
  • Independently manages the admissions process for designated degree program(s), including application review coordination, data tracking, faculty meeting preparation, and submission of final decisions
  • Drafts and edits email correspondence, weekly digests, quarterly newsletters, and policy documentation; maintains mailing lists and internal administrative systems (SharePoint, Teams, intranet) to support communication, tracking and collaboration
  • 10% of this role provides administrative coordination for the Cancer Prevention Fellowship including the preparation of progress reports and competing renewals, planning monthly seminar meetings, data management, and overseeing the postdoctoral recruitment and application process

PLEASE NOTE: Occasional night and weekend work is required.


Qualifications

Basic Qualifications:

  • 4+ years of related experience is required; a combination of education and experience may be considered

Additional Qualifications and Skills:

  • Bachelor's Degree
  • Minimum three years of related experience in academic administration or education program coordination
  • Proficiency with Microsoft Office and database systems; experience with Canvas and Zoom
  • Foundational skills in AI or willingness to learn
  • Demonstrated ability to work independently, manage multiple priorities, anticipate and resolve problems proactively, and take initiative to problem-solve/trouble-shoot
  • Excellent communication and organizational skills
  • Ability to handle complex and confidential information with discretion
  • Commitment to diversity, inclusion, equity, and belonging

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
