Job Description
Reports to the manager of the informatics educators. Assists revenue cycle, patient access, scheduling, and coding associates in navigating and effectively using registration, scheduling and adjacent applications. This role assesses training needs, develops and delivers education, and provides at-the-elbow support across acute and ambulatory settings.
The Educator partners with Informatics and Information Systems teams to support system adoption, optimization, upgrades, and change initiatives using adult learning and process improvement principles. Performs testing of system applications as needed. Assists with on call coverage both during and after work hours.
This role is not remote and while it will be primarily based in Kalamazoo, Michigan but will require travel to the surrounding Beacon hospitals and clinics as well as some travel to the Indiana hospitals and clinics.

Primary Responsibilities
- Deliver instructor-led and computer-based training for revenue cycle and scheduling workflows.
- Assess individual and departmental training needs.
- Develop training materials, job aids, and Train-the-Trainer programs.
- Serve as a resource to end users with regards to the use and workflows within the registration and scheduling applications
- Provide at-the-elbow support
- Partner with Informatics Specialists to align education with system changes and Beacon standard workflows.
Serves as a liaison and facilitator for efforts to improve the associates' day-to-day utilization of clinical systems by:
- Assisting with the identification of end users’ issues and intervening as appropriate to resolve or prevent the escalation of a complaint.
- Obtaining feedback, on an ongoing basis, regarding enhancements to Oracle or other applications that would facilitate patient experience.
- Facilitating the timely delivery of training solutions designed to meet the clinical needs.
Assists with building and maintaining effective relationships with end users by:
- Responding to requests for information in a timely manner.
- Working collaboratively with staff to foster excellent working relationships with end users.
- Acting as a liaison with Information Systems (I.S.) on behalf of end users to communicate issues and solutions between groups.
Assists with tailoring computer systems applications to meet unique requirements of clinical workflows by:
- Assisting with the testing and conversion activities as needed.
- Collaborating with Information systems staff, including systems analysts, clinical informatics specialists, and leadership in the development and implementation of new functionality and clinical workflows.
- Using appropriate tools to support requested changes following departmental established guidelines for Change Management and Change Control.
- Complies with information systems policies and protocols for customer service, change management and project management.
Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:
- Acting in a troubleshooting role (for example, to help prevent problems).
- Appropriately escalating issues when the nature of an end-user interaction falls out of scope of the role of the Registration and Scheduling Informatics Educator
- Advocating the development of an environment where computer systems are utilized at the appropriate and optimal level.
- Assisting with activities related to quality improvement.
- Maintaining department records, reports and files (i.e., those related to training activities) as appropriate.
- Completing other job-related duties and special projects as directed.

Knowledge & Skills
- Strong knowledge of revenue cycle and scheduling workflows and how they interact with each other in a computerized environment.
- Demonstrates a strong knowledge of adult learning principles and educational fundamentals to ensure end user success in system utilization.
- Demonstrates advanced knowledge of Oracle.
- Requires the analytical, problem solving, and organization skills necessary to identify problems and facilitate the delivery of solutions in a timely manner.
- Requires the ability to effectively design, schedule, and deliver training programs. Also requires the ability to work independently.
- Requires a strong customer service focus and an in-depth understanding of clinical workflows.
- Requires proficient computer skills and the ability to utilize various software programs (i.e., Microsoft Office, Word, Excel, Access, etc.) and an understanding of the system capabilities and limitations.
- Demonstrates the leadership skills necessary to elicit cooperation and support, as well as the ability to work effectively with users who have various levels of computer skills.
- Demonstrates the interpersonal and communication skills (both verbal and written) necessary to communicate effectively with staff and physicians to establish and maintain effective working relationships. Also requires the ability to pro-actively approach others regarding their level of understanding and educational needs.
- Demonstrates the ability to assess training needs and requires the various skills necessary (i.e., negotiating, persuading, counseling, etc.) to provide effective training. Also demonstrates knowledge of adult education techniques and an interest in teaching others.
Working Conditions
- Works in a patient care and office environment requiring the ability to prioritize workload to meet deadlines.
- May be exposed to bio-hazards.
- Work schedule may vary to meet the training needs of the various areas served.
- May experience some mental/visual fatigue due to continued use of computer equipment.
