About This Position

Job Summary:

The Counselor Associate reports directly to the Director of Business Operations. His/her role includes

  • Assists Case Managers with precerts and continued stay reviews for PHP/IOP or other Specialty Program Patient as assigned.
  • Assists Case Managers with phone calls, faxes and other administrative tasks
  • Answering the telephones and relays information appropriately.
  • Verifies benefits for inquiries of potential patients entering Pine Grove Specialty Program
  • Maintains schedule for Psychiatrist of Specialty Programs and arranges backup when needed
  • Maintains calm and patient centered atmosphere for patient admission
  • Greets patients and other customers
  • Accurately preregisters patients entering Pine Grove Specialty Programs
  • Obtains necessary documents from patient
  • Accurately and consistently prepares Deposits for all Specialty Program payments.
  • Contacts family/referral source within timeframe to notify of patient admission
  • Enters information into Residential database
  • Scans all forms from registration into Epic
  • Maintains patient privacy according to policy.
  • Ensures flow of patient registration is consistent with We CARE philosophy
  • Maintains inventory of necessary forms and supplies at the team leader area.
  • Maintains cleanliness of area.
  • Other duties not requiring licensure as assigned by the Director
  • Provides administrative support to other programs as needed

Performance Expectations:

• Demonstrates the ability to manage schedule of admissions

• Demonstrates familiarity and competence in navigating payor portals for verification of benefits as well as authorization.

• Demonstrates the aptitude to work in multiple data sources

• Demonstrates the ability to generate reports accurately and timely.

• Demonstrates excellent communication skills and abililty to arrange and follow up on detailed tasks.

Qualifications:

Education/Skills

Bachelor degree in psychology or social work required (or other health related fields).

Work Experience:

Strong communication and organization skills required. Computer experience required. Must have a

working knowledge and experience of data processing systems and data analysis. Must be able to work

in an active environment and remain calm and focused.

Mental Demands:

Exceptional oral and written skills are required to relate effectively to Hospital and medical

staff. The individual must have the ability to type and be familiar with the rules of spelling,

grammar, and punctuation. The individual must have the ability to use a computer display

station, copier, telephone, personal computer, and calculator. Working knowledge of medical

terminology is necessary. The individual must have a high energy level and be capable of

handling pressure situations both mentally and physically.
