About the role
The Receptionist serves as the first point of contact for PWP Health and plays a critical
role in creating a welcoming, organized, and professional clinic environment. This
individual supports daily front office operations, ensures a seamless client experience
from arrival to departure, and provides administrative coordination that enables our
clinical team to deliver high-quality behavioral health services.
Hours will be 12pm to 5pm Monday, Tuesday, Thursday, and Friday, and 1pm to 7pm on
Wednesday.
What you'll do
● Answering Phones: Handle incoming phone calls, route them to the appropriate
staff members, and provide information or assistance to callers.
● Greeting Clients: Welcome and assist clients as they arrive, creating a friendly
and welcoming atmosphere.
● Appointment Scheduling: Schedule and manage appointments for clients,
ensuring that the clinic's schedule runs smoothly.
● Check-In and Check-Out: Check clients in when they arrive and check them out
when they leave.
● Office Supplies and Inventory: Manage office supplies budget, order necessary
supplies when needed, and ensure inventory is well-stocked.
● Administrative Support: Provide general administrative support to staff
members, including filing, photocopying, and data entry.
● New Employee Orientation: Ensure all orientation documents are printed, photos
are taken, and arrangements are in place for the first day of orientation.
● Client Support: Offer assistance to clients who may have questions
Qualifications
● Education: Minimum requirement: High school diploma or equivalent. Additional
education, such as an associate's degree or vocational training in medical office
administration, is a strong advantage.
● Communication Skills: Strong verbal and written communication skills are
essential. You'll be the friendly face clients see first, so the ability to convey
information clearly and empathetically is crucial.
● Customer Service Skills: We're looking for someone who excels in customer
service. Being friendly, patient, and professional when handling inquiries and
concerns is key.
● Organizational Skills: Keeping things in order is your thing. You'll manage
appointment schedules, patient records, and administrative tasks efficiently.
● Computer Proficiency: Comfortable using office software like Microsoft Office
and electronic health records (EHR) systems. We'll teach you the specifics, but
basic computer skills are required.
● Empathy and Sensitivity: Compassion is a must. You'll interact with patients who
may be in distress, so empathy, patience, and sensitivity are essential.
● Confidentiality: We take patient privacy seriously. You'll need to adhere to strict
confidentiality regulations like HIPAA.
● Professionalism: A professional demeanor and appearance are essential when
interacting with patients and colleagues in a healthcare setting.
